Your mission

Role

The Human Resources (HR) Assistant supports the smooth running of the employee life cycle by providing accurate personnel administration and HR services for War Child Alliance (WCA). The HR Assistant helps maintain HR systems and personnel files, supports onboarding processes, and ensures HR data and documentation are complete and compliant. The HR Assistant provides administrative support to the HR team, managers, and employees.

Team

The HR Assistant is part of the HR team in the People & Culture department and reports to the Director of People and Culture/ HR Advisor. The HR Assistant works closely with the HR Officer and HR Advisor for the global office, and the two HR Advisors for the Africa and Middle East region, as well as the Recruitment Consultant.

Responsibilities

The HR Assistant is responsible for supporting personnel administration, onboarding processes and the maintenance of HR systems and files in an accurate and timely manner. The HR Assistant assists with the execution of HR processes and acts as a first point of contact for employees and managers regarding routine HR queries and systems.

What you will do:

Implement personnel administration, systems and HR policy

  • Assist the HR officer in personnel administration, process changes in the workforce and managing personnel files, the personnel information system and other systems. Ensure that the personnel administration is in order and up to date;
  • Support the HR Officer and the Recruitment Consultant with onboarding process, including pre-employment and pre-departure checks; ensure all necessary documents and pre-employment checks are completed in line with War Child’s recruitment guidelines;
  • Ensure GDPR compliance of process of collecting, processing, and storing all employee data.

Providing information and maintaining contacts

  • Act as a point of contact and contact person for management and personnel with regards to the various HR systems and ensures the correct functioning;
  • Manage the general HR mailbox, answer questions and distribute emails to the right focal points;

Facilitating departmental activities, training and travel insurance

  • Support HR Officer and HR Advisors with day-to-day operational support;
  • Arrange and invite new employees to join onboarding trainings;
  • Ensure all employees traveling for War Child are registered with our insurance providers; support the HR Officer and collaborate with the insurance provider closely for insurance claim and travel insurance certificate;
  • Support the HR team with drafting employment-related documentation such as employment statement when needed

Your profile

Experience, Knowledge & Skills

Education / degree

  • Relevant education and/or work experience required

Experience

  • Relevant administrative HR experience
  • Knowledge of employment law; familiarity of Dutch and UK employment law preferred
  • Experienced in using and maintaining a HR system; experience with Personio is an advantage.

Knowledge

  • Proficient in the employee life cycle, processing and advising on process, procedure and policy.

Skills

  • Fluent in English, Dutch preferred
  • Exceptional communicator (verbal, written and interpersonal) and culturally sensitive;
  • Able to build strong relationships and gain trust and credibility with people inside and outside of the organisation (e.g. insurance provider etc.);
  • Exceptional time management with the ability to manage conflicting priorities and demands;

What We Offer

  • Location : Netherlands. Preference is given to applicants who reside and have valid working permits. War Child does not offer relocation.
  • Duration : 6 months contract - 3 days a week.
  • Salary range from €2724 - €3387 gross per month, based on 40 hours per week (the exact step determined by the years of relevant working experience)
  • Annual leave : 29 vacation days on full time basis (consisting of 26 vacation days plus 3 additional fixed free days, based on 40 hours work week)
