Key Responsibilities

Administrative Support

  • Prepare and maintain recruitment candidate trackers, spreadsheets, and team documents to support the delivery function.
  • Manage recruitment filing systems, shared drives, and document libraries.
  • Assist with preparing job descriptions, contracts, and other documentation.
  • Support the organization of recruitment events (venue bookings, materials, logistics).
  • Manage diary scheduling and administrative tasks for the recruitment leadership team.

Data & Reporting

  • Update and maintain applicant tracking systems (ATS) and recruitment databases.
  • Collate, verify, and analyze recruitment data for reporting and dashboards.
  • Produce weekly/monthly reports on recruitment activity and performance metrics.
  • CRM monitoring and reports.
  • Support audit and compliance requirements by ensuring data accuracy and completeness.

Operational Support

  • Prepare recruitment packs, onboarding documentation, and compliance checklists.
  • Update process documentation, templates, and forms in line with team requirements.
  • Provide general team coordination and administrative support to ensure smooth operations.


Candidate & Market Tracking – monitoring PE job boards, industry news, and competitor marketing activity; compiling useful daily/weekly lists.

Consultant Support – formatting CVs/marketing materials, chasing consultant self-reports, and following up on deliverables requested by leadership.

Database & Reporting – light database housekeeping (tidying entries, removing duplicates, backdoor monitoring), plus reporting back on candidate/client data completeness.

Recruitment Admin – screening CVs for basic fit (leadership only)

Cross-Team / Project Support – drafting contracts via DocuSign, supporting marketing, helping with surveys/feedback, and providing meeting minutes and summaries where needed.

Skills & Qualifications

  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Strong ability to collect, organize, and manage data efficiently.
  • Analytical thinker with excellent problem-solving skills.
  • Fast learner, adaptable to new systems and processes.
  • Reliable, supportive, and collaborative team player
