Position: HR Coordinator

Location: ON-SITE, London , UK

Salary: £32,000 - £35,000 Per Annum

Employment Type: Full-Time (Monday–Friday), 9am-5pm.

Responsibilities


  • Act as the first point of contact for HR-related queries across PEN Group, providing clear guidance on policies, procedures, and employee matters, and ensuring consistency in HR practices across the Group.
  • Maintain and oversee accurate and up-to-date employee records, including personal information, attendance, and leave records, ensuring data integrity and compliance with internal standards and GDPR regulations.
  • Prepare, compile, and distribute accurate HR reports and documentation, including drafting meeting agendas, recording detailed minutes of HR-related meetings, and generating regular reports on HR metrics, employee data, and compliance matters to support decision-making and ensure proper documentation.
  • Prepare and quality-check HR documentation, including employment contracts, offer letters, variation letters, and internal communications, delegating administrative tasks where appropriate while ensuring timely completion.
  • Support recruitment activities by coordinating interviews, communicating with candidates, and assisting with the preparation of offer letters and onboarding documentation to ensure a smooth and professional candidate experience.
  • Coordinate and monitor HR operations globally, ensuring that local teams complete required tasks and that new employees receive a consistent and professional introduction to the organisation.
  • Provide support on employee relations matters, acting as a liaison between employees and HR leadership, maintaining confidentiality, and escalating complex issues to the HR Manager as needed.
  • Maintain and update HR platforms, ensuring data accuracy, generating reports, and supporting digital process improvements across the PEN Group.
  • Ensure ongoing compliance with HR policies and employment regulations by overseeing and actioning the completion of audits, reviews, and updates of documentation handled by local teams.
  • Support office-wide compliance efforts by monitoring the status of mandatory policy acknowledgements, training completions, working closely with employees and HR/admin contacts to ensure full compliance.
  • Manage the document control process for all HR policies and procedures, ensuring updates are made in a timely manner, appropriately approved, and communicated to relevant stakeholders across PEN Group.
  • Assist in the coordination of performance management activities, such as probation reviews and formal performance processes, by supporting line managers and ensuring consistency and documentation across the business.
  • Identify opportunities to streamline and improve HR processes globally, recommending changes to enhance efficiency and consistency across the organisation.
  • Carry out monthly payroll including holiday calculations, sick leave, SMP and etc.
  • Provide HR coordination support across all entities within the PEN Group, ensuring an aligned approach to policy, documentation, and employee support.
  • Be flexible and show initiative; you will be required to perform other related duties to meet the ongoing needs of the Company.


Essential Requirements

  • Minimum 2-3 years experience as an HR Assistant or HR Coordinator
  • Educated to degree level in HR or Business, or holds a CIPD Level 5 qualification.
