Overview
We are seeking a highly efficient and dependable Executive Assistant / Personal Assistant to provide comprehensive administrative and personal support to senior leadership. The successful candidate will be proactive, discreet, and capable of handling a wide range of executive and personal tasks with precision, professionalism, and confidentiality.
Key Responsibilities
- Manage complex calendars, schedules, and appointments, ensuring smooth coordination of business and personal commitments.
- Organize and manage travel arrangements, including visas, flights, accommodations, and itineraries.
- Handle correspondence (email, phone, written communication) on behalf of the executive with accuracy and discretion.
- Prepare professional reports, presentations, and documents as required.
- Track and follow up on tasks, deadlines, and project timelines to ensure completion.
- Assist with personal tasks and errands, including events, household appointments, and family logistics.
- Manage financial tasks such as expense reports, reimbursements, petty cash, and invoice tracking.
- Maintain and organize confidential records, files, and contact lists.
- Serve as a trusted liaison between the executive and both internal and external stakeholders.
- Provide general administrative support including note-taking, filing, and office management duties.
Requirements
- Bachelor’s degree or equivalent qualification preferred.
- Minimum 5 years’ experience as an Executive Assistant or Personal Assistant supporting senior leadership or C-level executives.
- Strong command of English (both written and spoken).
- Excellent organizational, time management, and multitasking abilities.
- High attention to detail with the ability to prioritize effectively.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Discreet, trustworthy, and able to handle sensitive information with integrity.
- Professional, presentable, and resilient under pressure.
