About the role:

The Project Coordination Officer ensures smooth project delivery by managing contracts, billing alignment, and financial compliance. Serving as the central point of contact, this role tracks project utilization, supports accurate invoicing, and maintains organized records for reporting and audits. With a focus on efficiency and accuracy, the officer helps drive accountability, resolve issues, and support leadership in improving financial operations.

Key Responsibilities:

Manage and Maintain accurate records of client contracts, SOWs, and MSAs

  • POC for all project folders and code alignment for services rendered.
  • Track contract terms to ensure alignment with billing schedules.
  • Flag any discrepancies in contract execution or financial obligations.
  • Manage utilization and realization against scope of work.

Time Tracking & Cost Analysis

  • Ensure project time entries are correctly recorded.
  • Calculate billable amounts based on contract stipulations.
  • Forecasting and accruals against scope.
  • Identify and escalate inconsistencies in time reporting or cost allocations.

Record Retention & Compliance

  • Organize financial documents for easy access and audit purposes.
  • Maintain compliance with internal financial policies and external regulations.
  • Support financial reporting needs by ensuring accurate record-keeping.

Operational Support & Escalation

  • Identify gaps or issues in financial operations and suggest corrective actions.
  • Collaborate with leadership on billing adjustments or process improvements.
  • Provide insights into financial data trends for operational efficiency.

Front Office Billing & Invoicing

  • Verify T&M vs Fixed Price projects and track accordingly.
  • Review invoices against scope of work to ensure accuracy.
  • Support partners, through project tracking in following up on outstanding payments.


Qualifications

  • Bachelor’s degree in Business Administration or related field (preferred).
  • 2–4 years of project coordination or financial operations experience; professional services or high-growth environment a plus.
  • Strong organizational skills with ability to manage multiple projects, documents, and deadlines.
  • Analytical and detail-oriented, with experience interpreting financial data and tracking utilization.
  • Effective communicator and central point of contact, skilled at engaging stakeholders and escalating issues when needed.
  • Proactive problem-solver with a track record of recommending process improvements.
  • Self-motivated, adaptable, and able to work independently as well as collaboratively.
