Position Summary:

The Senior Executive Assistant is a critical partner to the CEO of the Hospitality Division, providing high-level administrative, operational, and strategic support. This role requires exceptional organisational skills, strong calendar and time management abilities, and the capability to anticipate needs in a dynamic, fast-paced environment. The Executive Assistant ensures the CEO’s schedule is optimised, priorities are managed proactively, and internal and external stakeholders are supported with professionalism and efficiency.


Key Responsibilities

1. Executive Office Management & Strategic Support

  • Provide executive-level support to the CEO, ensuring efficient day-to-day operations.
  • Manage a complex calendar, prioritising and adjusting as needed.
  • Act as the primary liaison between the CEO and all stakeholders.
  • Prepare reports, talking points, briefing materials, and correspondence.
  • Handle confidential information with discretion.
  • Coordinate and follow up on proposals and internal/external communications.
  • Monitor key projects and track deliverables across departments.
  • Represent the CEO’s office in meetings as needed.
  • Build effective relationships with senior leaders, officials, contractors, and hospitality teams.

2. Calendar, Meetings & Time Optimisation

  • Manage and optimise the CEO’s schedule.
  • Organise and prepare for internal and external meetings, including leadership and board reviews.
  • Take accurate meeting minutes and track action items.
  • Resolve scheduling conflicts and ensure effective time use.
  • Prioritise high-impact activities and delegate lower-priority tasks.

3. Office Operations & Coordination

  • Ensure the executive office runs in a professional, efficient, and customer-focused manner.
  • Liaise with multiple departments to ensure cross-functional alignment.
  • Coordinate stakeholder meetings and ensure proper documentation and follow-ups.
  • Maintain well-organised filing systems (both physical and digital).

4. Reporting, Documentation & Compliance

  • Compile and format reports from multiple entities for executive review.
  • Support operational decision-making with clear reporting.
  • Liaise with legal and other departments to ensure accurate documentation.
  • Maintain confidential personnel records and correspondence logs.

5. Additional Administrative Responsibilities

  • Manage logistics related to meetings, events, office supplies, and business needs.
  • Handle petty cash memos, expense claims, and coordinate with finance.
  • Support marketing and internal communication initiatives where required.

Experience & Qualifications

  • Minimum 7 years in an executive support role, preferably in hospitality or corporate environments
  • Bachelor’s degree in Business Administration or a related field (preferred)
  • Experience liaising with government bodies and senior stakeholders is a plus
  • Excellent command of English (verbal and written)
