Our client is a distinguished Swiss multi-family office with ownership interests across a portfolio of international businesses.


The Executive Assistant to the Board will provide high-level administrative, organizational, and coordination support to the members of the Board. This position plays a pivotal role in enabling the Board to focus on strategic priorities by ensuring efficient day-to-day management, communication, and execution of key activities.


Key Responsibilities

  • Provide comprehensive executive and administrative support to the Board members.
  • Coordinate complex calendars, international travel, and logistics across multiple time zones.
  • Prepare correspondence, reports, presentations, and meeting materials in both German and English.
  • Organize and support Board and shareholder meetings, including agenda preparation, documentation, and minute-taking.
  • Liaise with senior executives across portfolio companies, advisors, and external stakeholders to facilitate communication and follow-up.
  • Handle confidential matters with utmost discretion and professionalism.
  • Support governance, compliance, and corporate documentation processes.
  • Assist with ad-hoc projects, events, and cross-entity initiatives within the family office and its affiliated businesses.


Profile

  • Minimum of 10 years of experience as an Executive Assistant or similar role supporting C-level or Board members.
  • Proven ability to operate effectively in a multi-entity, international environment.
  • Excellent organizational, communication, and interpersonal skills.
  • Fluent in German and English (both written and spoken at a business level).
  • Strong attention to detail, proactive mindset, and positive, service-oriented attitude.
  • High degree of discretion, reliability, and professionalism.
  • Proficiency in Microsoft Office Suite and modern collaboration tools.
