We are seeking a Human Resources Generalist to join our Human Resources (HR) team. This role is ideal for someone who has worked as an HR Coordinator or in a similar support role, has had experience with California employment law, benefits, and policy administration. You’ll work closely with leadership and employees, gaining direct experience in HR compliance, employee benefits, and HR operations across a multi-state environment.

Job Summary

The HR Generalist will play a key role in supporting the full spectrum of HR functions, with a focus on HR administration, employee inquiries, recruitment, and company benefits. This position requires a detail-oriented professional who excels in multitasking, maintains confidentiality, and leverages strong analytical skills to ensure compliance with federal and California state regulations. The ideal candidate possesses excellent proficiency in Microsoft Excel for advanced data analysis, reporting, and process optimization.

Key Responsibilities

HR Administration Duties:

  • Assist in maintaining accurate and up-to-date employee records in HRIS, ensuring compliance with data privacy regulations, to include employment and payroll records, and employee benefit documentation. Perform monthly audits.
  • Familiarity with record retention and archiving terminated HR files and records within government regulations.
  • Support in the implementation of HR policies, procedures, and programs to support organizational goals.
  • Manage leaves of absence (LOAs), reasonable accommodations, and other sensitive employee matters with discretion and compliance using the Guardian Absence Management System. Track monthly benefit premium payments received from employees.
  • Prepare HR reports and dashboards to track key metrics, such as turnover rates, headcount, retention, employee demographics, HR scorecard performance, etc.
  • Coordinate employee engagement programs and internal communications.
  • Assist in maintaining compliance with federal and state employment laws, with a focus on California-specific regulations.
  • Assist with benefits administration, enrollments, changes, and employee inquiries, demonstrating comprehensive knowledge of all company benefits (including health insurance, 401(k), PTO, and more) to provide expert guidance and resolve questions promptly.
  • Respond to Employment Development Department (EDD) unemployment and disability claims, Guardian short-term and long-term disability claims, and other employment verifications in a timely and accurate manner.
  • Support annual open enrollment process, with onsite and remote employees.
  • Stay current with HR trends, regulatory changes, and new technologies.
  • Other duties as assigned.

Payroll Assistance Duties

  • Coordinate with the Payroll Administrator with employee onboarding and offboarding processes, including processing paperwork within HR information systems (HRIS). Monitor completion by employees.
  • Ensure application and background searches are completed for new hires. Collect all required new hire forms.
  • Partner with the Payroll Administrator in verifying timesheets, attendance records, and leave balances to ensure accurate payroll disbursement.
  • Assist payroll administrator with updating HRIS with changes in employee status, such as promotions, transfers, or salary adjustments.
  • Help with processing wage garnishments and other court-ordered deductions, coordinating with payroll to ensure compliance.

Training And Development

  • Coordinate training sessions, workshops, and mandatory compliance trainings.
  • Maintain training calendars, communicate schedules, and send reminders to employees and supervisors.
  • Maintain accurate training records and track completion of all required trainings in HRIS or other training platforms.

Performance Management

  • Assist with the design and implementation of performance management programs aligned with organizational goals within the HRIS.
  • Coordinate annual and mid-year performance review cycles, ensuring prompt completion and documentation.
  • Provide guidance to managers and employees on performance feedback, goal setting, and development planning.
  • Analyze performance data to identify trends and recommend improvements to enhance employee effectiveness.

General HR Support

  • Support recruitment efforts across all departments including job postings, screening, and coordinating interviews using Paylocity’s recruiting tool.
  • Assist with employee benefits programs, including enrollment, claims processing, and vendor coordination.
  • Ensure adherence to labor laws and company policies, participating in audits and compliance reviews as needed.

Requirements

Qualifications

  • Bachelor’s degree in human resources, Business Administration, or Human Resources Professional Certification.
  • 5-7 years of experience in HR roles, with proven experience in HR administration and payroll processing in high-growth environment.
  • Knowledge of HRIS and payroll software (e.g., Paylocity, ADP, Paycom).

Required Skills

  • Excellent advanced skills in Excel, including complex formulas, pivot tables, VLOOKUP, data visualization (charts/graphs), and macros for automating HR and payroll reports.
  • Demonstrated knowledge and experience navigating California and federal employment law. Multi-state experience in all 50 states preferred.
  • Experience handling LOAs, ADA/FEHA accommodations, and confidential employee issues.
  • Capable of writing clear and concise emails to all employees throughout the company.
  • Strong organizational and time-management abilities to handle multiple priorities in a fast-paced environment.
  • High level of integrity and ability to handle sensitive information confidentially.
  • Analytical mindset with attention to detail for accurate data entry and problem-solving.
  • Ability to work remotely and independently as well as part of a small team.
  • Have the initiative to see what needs to be done and get it done.
  • Create impactful, visually engaging content using Microsoft Word and PowerPoint.
  • In-depth understanding of self-funded benefit programs a plus.

Work Environment

This is a full-time remote position. Prefer candidate to live in California and have expert understanding of California employment laws. Weekly virtual meetings are required, and the role offers some flexibility in work hours to accommodate different time zones. The position involves approximately 25% travel on a quarterly basis to any of the company's sites within the U.S. If the candidate does not reside in California, the candidate must reside within the contiguous United States.

The posted compensation is the range that we in good faith anticipate relying on when setting wages for this position. We may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in California. This salary range may also be modified in the future, depending upon skills, experience, education, and geographical location.

Salary Description

$75,000 - $85,000 annually
