Summary
The ideal candidate will have 3+ years of experience in related fields; The Human Resources Associate is responsible for overseeing all aspects of HR operations across multiple entities, including employee relations, policy development, benefits administration, hiring and onboarding, performance management, and compliance. This role works closely with leadership and cross-functional teams to support a dynamic and growing organization.
Typical Duties And Responsibilities
Benefits & Compensation:
- Manage and track employee benefits programs (Health, HSA, RRSP) across all entities.
- Administer wage increases and compensation changes with proper documentation.
- Maintain accurate records of benefits and compensation.
- Develop, implement, and update HR policies and procedures.
- Maintain and revise the employee handbook.
- Coordinate with legal counsel on employment law issues, claims, and documentation.
- Submit and manage WCB claims across all entities; act as the primary contact for WCB matters and guide other entities on processes.
- Address and resolve employee conflicts and conduct disciplinary meetings.
- Conduct and document disciplinary actions.
- Facilitate exit interviews and handle sensitive offboarding matters (terminations, layoffs).
- Draft performance appraisals and manage review cycles and resulting wage adjustments.
- Develop job descriptions and oversee end-to-end recruitment processes.
- Conduct interviews (phone, virtual, and in-person) and background checks.
- Prepare employment contracts and onboarding documentation.
- Coordinate onboarding and offboarding procedures.
- Prepare and issue various HR-related letters (promotions, status changes, verifications, holidays, etc.).
- Maintain up-to-date employee records in internal systems (including ADP).
- Track and document important dates (start/end dates, reviews, medical leaves, anniversaries).
- Respond to employment verification and reference check requests.
- Work closely with management teams across all facilities and entities.
- Guide and support other company entities on HR processes and compliance.
- Attend and contribute to weekly management meetings.
- Assist in organizing company events and initiatives to enhance workplace culture.
Education & Experience:
- Bachelor's degree or diploma in Human Resources, Business Administration, or a related field.
- 3+ years of HR experience, preferably in a multi-entity or multi-location environment.
- Experience handling HR programs, employment law matters, and interdepartmental collaboration.
- Proficient with HRIS platforms (ADP or similar).
- Strong command of Microsoft Excel and other Office Suite tools.
- Experience tracking and managing HR data and documentation.
- Excellent interpersonal and communication skills.
- Ability to handle confidential and sensitive matters with discretion.
- Strong organizational and time management abilities.
- Comfortable working independently and as part of cross-functional teams.
- Detail-oriented with the ability to manage multiple tasks and deadlines.
- Has worked with or supported multiple corporate entities or business units.
- Demonstrates initiative and a problem-solving mindset.
- Stays current on employment law and best HR practices.
