Job Summary

The Project Coordinator will support the planning, execution, and monitoring of projects across multiple teams. This role involves coordinating schedules, resources, documentation, and communication between stakeholders to ensure timely and successful project delivery. The ideal candidate is detail-oriented, proactive, and skilled at managing multiple priorities in a fast-paced environment.

Key Responsibilities

Project Support & Coordination

  • Assist Project Managers in planning, scheduling, and tracking project timelines, milestones, and deliverables.
  • Coordinate daily administrative tasks including meeting scheduling, minutes documentation, and follow-ups.
  • Monitor project progress and provide regular status updates to stakeholders.
  • Support project governance by ensuring adherence to defined standards, processes, and templates.

Documentation & Reporting

  • Prepare and maintain comprehensive project documentation including project plans, reports, and change requests.
  • Track project KPIs and generate dashboards or summary reports for management.
  • Maintain accurate records of issues, risks, and decisions.

Communication & Stakeholder Management

  • Act as a liaison between cross-functional teams, ensuring clear and consistent communication.
  • Organize and facilitate project meetings, reviews, and workshops.
  • Support internal and external communication by drafting reports and presentation materials.

Resource & Budget Tracking

  • Assist in managing project budgets, procurement, and resource allocation.
  • Track invoices, purchase orders, and vendor deliverables as per project requirements.
  • Help forecast and analyze resource utilization and project costs.

Required Qualifications & Skills

Education:

  • Bachelor’s degree in Business Administration, Information Technology, Engineering, or a related field.
  • Project Management certification (PMP, PRINCE2, CAPM) is a plus.

Experience:

  • 2–5 years of experience as a Project Coordinator, Project Support Officer, or PMO Analyst.
  • Experience working in IT, engineering, or corporate project environments preferred.

Technical Skills:

  • Proficiency in project management tools (e.g., MS Project, JIRA, Smartsheet, Asana, or Trello).
  • Strong knowledge of Microsoft Office Suite (Excel, PowerPoint, Word).
  • Familiarity with project documentation, budget tracking, and reporting tools.

Soft Skills:

  • Excellent communication, interpersonal, and organizational skills.
  • Strong analytical and problem-solving abilities.
  • Detail-oriented with the ability to manage multiple tasks and deadlines.
  • Team player with a proactive and collaborative mindset.
