JOB OVERVIEW/PURPOSE
The Project Coordinator is responsible for driving the execution and delivery of key business initiatives across Mercedes Benz Passenger Cars. This job ensures effective coordination, governance, and communication across all stakeholders and contributes to the efficient implementation of projects, ensuring alignment with strategic goals, on-time delivery, and compliance with quality standards.
Responsibilities
Project Planning and Coordination
• Support the implementation and monitoring of business projects as directed by the Business Operations Manager and in alignment with strategic objectives.
• Coordinate end-to-end project activities, ensuring milestones, deliverables, and dependencies are effectively managed and achieved within defined timelines.
• Maintain and update project documentation, charters, and tracking systems to ensure project data integrity and accessibility.
• Develop project plans, timelines, and progress trackers for both Agile and Waterfall projects using tools such as Jira and Microsoft Project.
• Manage project scheduling, meeting coordination, and follow-up on action items to ensure timely closure.
Agile Project Facilitation
• Act as Scrum Master for Agile teams, facilitating daily stand-ups, sprint planning, sprint reviews, and retrospectives.
• Remove obstacles and roadblocks to enable teams to deliver on sprint commitments.
• Ensure Agile principles and best practices are consistently applied, fostering a culture of collaboration, accountability, and transparency.
• Track sprint velocity, progress, and team performance metrics to drive continuous improvement and delivery efficiency.
Cross-functional Collaboration
• Partner with business units, IT, Finance, HR, and external stakeholders to ensure smooth coordination and project alignment.
• Proactively identify interdependencies and potential conflicts between workstreams, escalating risks to the Business Operations Manager when necessary.
• Promote a culture of collaborative problem-solving and clear communication across departments to achieve project success.
Governance, Reporting, and Documentation
• Maintain comprehensive project documentation, including meeting notes, action logs, RAID (Risks, Assumptions, Issues, Dependencies) registers, and decision logs.
• Prepare and present regular project updates, dashboards, and reports for management, highlighting key progress indicators, risks, and mitigation strategies.
• Ensure all project activities adhere to organizational governance frameworks, compliance standards, and operational controls.
Continuous Improvement and Process Optimization
• Contribute to the refinement of project delivery frameworks, templates, and best practices.
• Analyse project outcomes and lessons learned to propose improvements in execution, collaboration, and communication.
• Promote digital adoption and automation in project management processes, leveraging tools to improve efficiency and visibility.
General
• Uphold company values throughout business practices and utilise sound judgment in decision making.
• Any other additional duties as may be required by management based on needs of the business.
Qualifications
MINIMUM REQUIRED EXPERIENCE
- A minimum of 1-3 years of hands-on experience in project coordination or delivery, with demonstrable experience managing or supporting projects across both Agile and Waterfall frameworks.
- Proficiency in project management tools such as Jira, Microsoft Project, Trello, or Asana.
- Prior experience in the UAE automotive industry or a complex multi-entity business environment is highly preferred.
- Strong exposure to stakeholder management, meeting facilitation, and reporting for senior leadership.
MINIMUM REQUIRED QUALIFICATION
- Bachelor’s degree in Business Administration, Project Management, Information Systems, or a related field.
- Project Management or Agile certifications (e.g., Scrum Master, PMP, PRINCE2, PMI-ACP) are highly advantageous.
