Bird & Bird is looking for a dynamic, detail-driven HR Projects Assistant to join our collaborative global HR team. If you're passionate about people, thrive in a fast-paced environment, and want to make a real impact across borders—this is your moment.

We have a number of exciting global initiatives to implement over the next year or so ranging from compliance and risk-based projects through to more creative initiatives such as rolling out projects to boost our performance culture and globally cascading our engagement survey tool to name just a few. You will gain valuable project management experience as well as broad exposure across the HR function, working with a variety of subject matter experts and stakeholders across the business from within a fantastic, friendly global HR team.

The team

Bird & Bird's Human Resource (HR) team's mission is to empower and support all employees to achieve their potential at the firm. We do this by encouraging and building strong relationships across all departments to cultivate a friendly, collaborative environment.

In London, the team comprises of HR professionals across all areas from graduate and lateral recruitment, learning & development to teams specialising in generalist HR, our HR system, Partner HR and TA, corporate social responsibility and diversity; all working alongside our international colleagues in supporting our 32 global offices. From your first to your last day at the firm, we will act as your supportive advisors to ensure that you can perform to the best of your ability in your role. What You'll Do

  • Supporting the HR Projects Manager with project communications (project tracker, status updates).
  • Scheduling and taking part in project meetings taking notes of key actions / decisions, monitoring progress and liaising with International HR teams to follow up to completion.
  • Produce project and communications plans and maintain project files.
  • Undertaking data analysis and research.
  • Co-ordinating the logistics related to projects including RFPs and scheduling meetings with project teams and external suppliers.
  • Liaising with colleagues in UK, US, EMEA and APAC regions and building relationships with local offices
  • Undertaking ad-hoc projects and/or small projects within wider programme.
  • Review and track all third-party vendors' invoices and spend on the project; Escalating any overspend or concerns to Project Managers and responding to vendor queries.
  • Support user acceptance testing and user training activities across a variety of projects as required.
  • Support the resolution of issues raised by internal and external partners acting as a link between them and the Project Manager.

About You

Your technical skills

  • Preferably would have experience at officer/ adviser level within the HR function.
  • Preferably would have experience working in a project capacity - either working on / supporting projects in role or within a project-based environment or PMO.
  • Effective verbal communication skills and excellent writing, grammar and spelling
  • Detail-oriented and highly organised.
  • Strong prioritisation skills and able to handle multiple tasks, adapting to a changing landscape.
  • Ability to work effectively within a group as well as independently motivated with minimal supervision.
  • High-level of proficiency in Microsoft Office (PowerPoint, Excel and Word).
  • Previous experience working within global organisation.
  • Methodical and logical approach.

Other Desirable Skills

  • Creative / experience of copywriting, production of communications and publications desirable
  • Experience working with engagement surveys desirable

The main responsibilities of this role are outlined above; however, this description is not exhaustive, and the job holder may be required to undertake additional duties from time to time to ensure the smooth running of the department. The role may require some working outside our normal working hours of 9:30am- 5:30pm.
