THE TEAM

The HR Coordinator is a newly created role, reporting directly to the Head of HR and providing additional support to the Global Director of Operations and HR. This is a tight knit team based in our west London office with an additional team member based in LA.


KEY RESPONSIBILITIES

This is an important role, that helps ensure the smooth running of our HR function across the full employee lifecycle from recruitment coordination, onboarding to offboarding, and everything in between.


SPECIFIC DUTIES

HR Operations & Administration

  • Act as the first point of contact for day-to-day HR queries, responding to basic employee queries on policies, processes, holidays, HR system and benefits.
  • You will be fully responsible for ensuring that our HR systems and employees’ records are up to date, ensuring accuracy and GDPR compliance at all times.
  • Prepare HR letters/emails when required relating to probation, contract changes, leavers etc.
  • Support payroll processing by collating and checking monthly data.
  • Help with internal communications and the coordination of company-wide initiatives e.g. DEI activities.
  • Manage the HR inbox, being both timely and professional. 
  • Responsible for ensuring that HR trackers are up to date all times
  • Assist with updating HR policies and templates and maintain Staff Handbook.
  • Provide administrative support for employee relations cases when necessary (note-taking, document preparation).

 

Recruitment & Onboarding

  • Coordinate recruitment activities including job postings when required, interview scheduling, and candidate communications.
  • Provide support with candidate shortlisting and conduct initial screening calls.
  • Provide admin support for onboarding processes including right-to-work checks, references, and induction planning and paperwork.
  • Track probationary periods and liaise with managers and Head of HR on meetings.

 

Employee Lifecycle & Engagement

  • Support the running of annual appraisals and initial reviews, ensuring deadlines are tracked.
  • Coordinate exit processes including scheduling exit interviews and handling leaver documentation.
  • Support company-wide HR initiatives such as wellbeing programmes, engagement surveys, and DEI events.
  • Tracking employees’ anniversaries and significant personal events/birthdays.

Collaboration

  • Provide day-to-day administrative and coordination across the whole HR team

 

Training

  • Supporting any training coordination, helping to organise internal lunch and learns, and liaising with external providers

 

ABOUT YOU

To be considered for this role you must have:

  • Previous experience in an HR team, ideally in an SME.
  • CIPD 5 or Batchelors degree in HR, or similar
  • Strong attention to detail and able to produce accurate work delivered to deadlines
  • Excellent written and verbal communication skills
  • An understanding of what it means to deliver great service
  • Happy to take direction but equally happy to prioritise and manage workload.
  • Proficiency working with Microsoft office suite
  • Exposure to HR software such as an ATS and/or HRIS would be helpful.
