Job Summary
The Project Coordinator is an entry-level, support-focused role designed for someone who is eager to learn agency operations and gain hands-on experience in project coordination. The Project Coordinator will work closely under the guidance of senior team members to ensure smooth execution of daily tasks, accurate tracking of deliverables, and reliable administrative support.
Job Responsibilities And Skills
- Provide day-to-day project support under senior oversight
- Maintain timelines and task updates in Workfront, ensuring accuracy and consistency
- Route deliverables for internal review through ProofHQ
- Schedule internal meetings, capture notes, and distribute clear recaps and follow-ups
- Organize and manage folder structures, maintain version control, and archive files
- Share timely reminders and updates with internal teams to keep workflows on track
- Enter project data, job codes, and support timesheet monitoring
- Flag potential project issues to senior team members (without owning resolution)
- Ensure compliance with established processes, tools, and workflows
- Undergraduate degree in Business, Communications, or related field
- Strong organization, time management, multi-tasking, and problem-solving skills
- Detail-oriented, thorough, and accurate
- Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook), Zoom, MS Teams
- Experience collaborating and communicating with cross-functional teams
- Ability to be effective in remote work via Teams etc. with internal teammates, stakeholders, clients, etc.
- Great communicator and leader; and able to build rapport with people quickly and easily
- Strong time management skills
- Ability to work independently and in a team environment
- Ability to prioritize and consistently handle multiple tasks across multiple clients and teams
- Ability to handle changing priorities while meeting deadlines
- Willingness and ability to learn
- Ability to keep a cool head and positive attitude when executing tasks across accounts
