We're looking for a proactive and highly organised Executive Assistant/IT Administrator to work closely the Chief Technology officer in the execution of their duties and providing administration support across critical Governance, Compliance, Risk Management and Project activities. The successful candidate will also make decisions and take the initiative to keep things moving without constant direction. The key responsibilities and competencies required for the role include:
Executive Assistant
Provision of administrative support to Chief Technology
- Diary management and planning through prioritisation of appointments
- Organising internal and external meetings
- Managing all IT correspondence
- Minute-taking at key team meetings
- Assist with coordination and management of special projects, as required
- Various ad-hoc administration duties
- Support the maintenance of Records of Processing Activities (ROPA).
- Coordinate GDPR compliance activities including schedule of ROPA reviews.
- Ensure GDPR-related actions are monitored, tracked, and completed on schedule.
- Provide administrative support to compliance or data protection teams.
- Ensure we have up to date views of open Audit and Risk items, and they are being actively worked on.
Own and Manage the Change Management Process, Policies, and procedures.
Ensure all changes follow defined workflows and governance standards.
Administer the Change Advisory Board (CAB), including chasing approvals and ensuring timely updates.
Track and maintain accurate records of change requests. Perform the initial check and classification of changes.
Produce reports on change status and escalate issues where necessary.
Monitor implementation of approved changes, including post-implementation reviews.
Stakeholder management: Ensure Business, service owners, and technical teams are engaged in the process.
Maintain the change schedule and ensure that all changes are in the correct status.
Project Administration (As Require)
Schedule and coordinate project meetings, workshops, and reviews.
Prepare agendas, take accurate minutes.
Maintain project logs, registers, and documentation.
Support project teams with administrative tasks as required.
Desired Competencies And Skills
- Solid experience in a senior Executive Assistant or high-level administrative role.
- Proven ability to manage activities independently from concept to completion.
- Exceptional organisational skills and the ability to handle multiple priorities.
- Strong communication skills - written, verbal, and interpersonal.
- High proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
- Have a proactive, adaptable, and solutions-focused approach.
- Understanding of departmental budgeting and cost control principles.
- Ability to handle confidential information and sensitive issues with discretion.
- Ability to work effectively as part of a team, while also showing initiative and managing multiple tasks simultaneously
- Flexibility and adaptability to take on new tasks and responsibilities.
- High level of attention to detail (critical to success in the role).
