We are expanding our operations team and seeking an Office Admin Executive to ensure smooth daily office operations and provide essential support across administration, finance coordination, and company logistics.
Key Responsibilities
Office Administration
- Oversee day-to-day office operations and ensure a productive, well-maintained workspace.
- Manage procurement and inventory of office supplies, pantry items, snacks, and equipment.
- Coordinate lunch orders, workspace setup, and maintenance—including cleaning schedules and plant care.
- Liaise with building management, external vendors, and service providers to ensure timely and cost-effective support.
- Oversee contracts with office vendors and suppliers.
- Manage company driver schedules, car plate registrations, courier services, and hotel bookings.
- Coordinate travel and relocation logistics for executives and candidates, including visas, flights, and housing arrangements.
- Support finance operations through invoice processing, petty cash management, and expense claim tracking.
- Assist with company credit card reporting and auditor coordination.
- Facilitate trade license renewals, government filings, document notarizations, and visa document preparations.
- Maintain internal systems such as AI meeting notes, team wiki updates, and group presentation materials.
- Assist in scheduling and preparing materials for internal and leadership meetings.
- Track company assets and maintain accurate inventory records.
- Support internal culture initiatives, including birthdays, holidays, and company events.
- Help organise team outings, celebrations, and milestone recognitions.
- Provide administrative and research support to the CPO and leadership team.
- Prepare PowerPoint presentations, reports, and ad hoc operational documentation as needed.
- Bachelor's degree in Business Administration, Management, or a related field preferred.
- 2–4 years of relevant office administration or executive support experience, ideally within finance, tech, or startup environments.
- Strong organisational and multitasking abilities with high attention to detail.
- Proficient in Microsoft Office Suite, Google Workspace, and modern collaboration tools (e.g., Notion, Slack).
- Excellent communication and interpersonal skills.
- Proactive, resourceful, and comfortable in a fast-paced, dynamic environment.
- Interest or exposure to Web3, blockchain, or venture capital sectors is a plus
