Executive Assistant to the MD
Abu Dhabi
Salary: AED 20k - 30k (depending on experience)
We are seeking a highly professional, detail-oriented, and proactive Executive Assistant to support the Managing Director of our media company. The role requires an experienced candidate capable of managing a high-volume, fast-paced executive office while maintaining confidentiality, demonstrating discretion, and facilitating seamless communication between the MD and internal/external stakeholders. Fluency in Arabic and English is essential.
Key Responsibilities:
- Manage the MD’s calendar, schedule meetings, and coordinate appointments, ensuring effective time management.
- Prepare and manage correspondence, reports, presentations, and other documents with high attention to detail.
- Act as the first point of contact for internal and external stakeholders, handling inquiries professionally.
- Coordinate travel arrangements, including visas, accommodation, and itineraries, ensuring a seamless travel experience.
- Attend meetings, take minutes, and follow up on action points, ensuring timely completion.
- Assist in managing confidential and sensitive information with discretion.
- Support special projects and ad hoc requests from the MD, providing research and administrative assistance as required.
- Maintain filing systems, contact databases, and office documentation in an organized manner.
- Facilitate communication across departments, ensuring alignment with the MD’s priorities and strategic initiatives.
Qualifications & Experience:
- Bachelor’s degree or equivalent experience in Business Administration, Communications, or related field.
- Minimum 7 - 10 years of experience as an Executive Assistant or in a similar role supporting C-Level Suite / senior management in a corporate or media environment.
- Fluency in Arabic and English (oral and written) is required.
- Strong experience in handling top-tier management, including managing complex calendars and executive communications.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
