Job Description:

The Assistant Project Manager (APM) is an entry-level position in the project management team. This role involves supporting senior project managers in executing multiple projects from initiation to completion, ensuring that projects are delivered successfully, managing finances effectively, and aligning with stakeholders.

Under the supervision and guidance of senior project managers, the APM will assist with managing project deliverables, tasks, and documentation and coordinate subcontractor activities. This position is ideal for a motivated, detail-oriented individual eager to gain hands-on experience and grow in project management within the BAS industry.

Reports to: Director of Construction

Supervises: None

Essential Duties and Responsibilities:

Project Support & Team Collaboration:

  • Assist the project manager in motivating and supporting team members, contributing to a positive team environment.
  • Communicate potential conflicts and competing priorities to the project manager.
  • Assist with resource allocation under the guidance of the project manager.

Project Execution & Delivery Support:

  • Assist in developing project plans and monitoring progress under the supervision of the project manager.
  • Support quality and technical accuracy by assisting in system design, installation, and commissioning.
  • Assist in documentation control.

Financial Support:

  • Assist in tracking project expenditures and reporting on budget adherence.
  • Assist in the change order and billing processes.

Communication & Stakeholder Support:

  • Assist in maintaining communication with stakeholders and addressing basic concerns.
  • Assist in preparing meeting agendas and taking meeting minutes.

Risk & Safety Support:

  • Assist in enforcing safety protocols and reporting potential hazards.
  • Assist in identifying and reporting potential project risks.

Continuous Improvement Support:

  • Assist in gathering project performance data and identifying areas for improvement.
  • Assist in documenting lessons learned.

Subcontractor Support:

  • Assist in monitoring subcontractor progress and reporting issues.
  • Assist in documenting subcontractor work.

Knowledge, Skills, and Abilities:

The following are the knowledge, skills, and abilities needed for an individual to perform the essential functions of the position.

Education

  • Associate degree in a field related to construction (i.e., engineering, architecture) or equivalent related work experience required.
  • Bachelor’s degree preferred.
  • PMP, CEM, LEED AP, EIT, or PE certifications are a plus.

Travel Requirements

Must be able to travel to job sites within the New York City area. Travel will primarily occur during standard working hours, with no overnight stays required.

Technical Skills

  • Proficiency in Microsoft Office 365 and other basic office software tools.
  • Familiarity with project management software or tools is a plus.

Leadership & Communication

  • Strong organizational and multitasking abilities with the capacity to coordinate multiple ongoing tasks.
  • Excellent written and verbal communication skills for interacting with both technical and non-technical stakeholders.
  • Ability to collaborate effectively in a team environment.

Problem-Solving & Adaptability

  • A proactive approach to learning, adapting, and problem-solving in an evolving project environment.
  • Strong analytical abilities to identify, assess, and resolve basic project challenges.

Safety Training

NYC Site Safety Training (SST) - 62 Hours

Working Environment:

  • Field and Office Work: The role requires regular visits to construction and renovation job sites, which may be active construction zones. Personal protective equipment (PPE) will be required. Occasional visits to the main office will also be necessary.
  • Dynamic Setting: This role involves working with diverse teams, including engineers, technicians, and contractors, and attending high-stakes client meetings.
  • Physical Requirements:
  • The physical demands described here represent those that must be met by an employee to successfully perform the essential functions of this job.
  • Light work. Lift and carry materials, ladders, or equipment weighing up to 25 pounds.
  • The work requires the employee to stand, walk, sit, climb, balance, kneel, and use their hands and fingers to handle, feel, or keyboard.
  • Vision abilities required include close vision to read and interpret documents and project materials.
  • The ability to talk and hear is necessary for effective communication.
