Job Title: Administrative Officer


Employment Type: One Year Extendable


Job Purpose:


To provide comprehensive administrative and operational support, ensuring the smooth coordination of daily activities, documentation, reporting, and communication. The role is key in maintaining efficiency and accuracy within the department’s investment operations and supporting portfolio management activities.


Key Responsibilities:


1. Administrative Support


Manage daily office operations, correspondence, and filing systems for the Investment Department.


Schedule and coordinate meetings, appointments, and travel arrangements for investment staff.


Prepare, format, and distribute internal and external communication (e.g., memos, reports, presentations).


2. Investment Documentation & Reporting


Assist in collecting, organizing, and maintaining investment-related documentation, contracts, and due diligence files.


Support in preparing investment proposals, performance reports, and financial summaries.


Ensure timely submission of reports to management and external stakeholders.


3. Coordination & Communication


Serve as a liaison between the Investment Department and other departments, stakeholders, or partners.


Follow up on project and investment progress updates as required.


Support in organizing investment committee meetings, including agenda preparation, minute-taking, and record-keeping.


4. Data Management & Compliance


Maintain and update investment databases and records.


Ensure compliance with internal policies and regulatory standards for investment documentation.


Assist in internal audits and verification of investment data.


5. General Support


Support the onboarding of new staff or interns within the department.


Handle procurement requests, petty cash, and department-related expenses.


Contribute to continuous improvement initiatives to enhance department efficiency.


Qualifications & Requirements:


Bachelor’s degree in Business Administration, Finance, Economics, or related field.


Minimum 1- 2 years of experience in administrative or coordination roles, preferably in an investment, financial, or corporate setting.


Strong organizational and multitasking skills.


Excellent written and verbal communication in English (Arabic is an advantage).


Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).


High level of confidentiality, professionalism, and attention to detail.
