Role Overview
The Project Manager will drive operational excellence across content production pipeline, ensuring the efficient delivery of high-quality content to clients. This role demands exceptional organizational skills, a strong eye for process optimization, and the ability to coordinate effectively across multiple stakeholders. You’ll work closely with Content Leads and writers to streamline workflows and uphold consistent delivery standards.
Key Responsibilities
Client & Workflow Management (60%)
- Own and streamline communication between clients and internal content teams.
- Manage content approvals and feedback loops with clarity and timeliness.
- Proactively update Notion boards and timelines to reflect status changes.
- Ensure timely delivery of high-quality content.
- Monitor Slack for client and team updates; collaborate with other PMs to ensure full coverage across accounts.
Internal Operations & Special Projects (40%)
- Onboard new clients and team members into internal systems.
- Maintain and improve operational dashboards, automations, and tooling (primarily in Notion).
- Collaborate with leadership on special projects and troubleshooting initiatives.
- Partner with tech teams to coordinate system updates.
- Keep internal documentation current and contribute to scalable process improvements.
Onboarding Timeline (First 30 Days)
- Weeks 1–2: Shadow existing PMs, train on Notion, tools, and observe real client workflows.
- Weeks 3–4: Co-manage accounts under supervision; begin handoff of responsibilities.
- Exposure to both AM-heavy and PM-heavy shifts to ensure coverage across time zones.
Requirements
Must-Haves
- 3+ years of project management experience, ideally within a content or creative agency
- Advanced proficiency in project management tools such as Notion, Asana, or ClickUp
- Hands-on experience with AI tools and automations to streamline workflows
- Proven ability to implement and optimize operational systems
- Experience managing complex projects with multiple stakeholders
- Strong understanding of content production processes (editorial, design, video, or marketing)
Nice-to-Haves
- Familiarity with tools like Slack integrations, Zapier, Airtable, or Figma
- Experience scaling internal processes for fast-growing teams
- Background in creative or media production workflows
- Prior experience training or mentoring junior team members
- Comfortable working across multiple time zones and with global teams
