We are a small team of engineers and technicians working on complex products mostly in the domain of robotics and unmanned vehicles. We value focus and deep work, and our normal workflow is difficult to reconcile with the kind of activities needed to make the business run smoothly. At the moment, we lose contracts and opportunities because nobody is in charge of checking the inbox daily, answering phone calls, or submitting tax returns on time. Hence, we are looking for someone to take charge of that part.

As a business operations manager, you will be the main contact point for anyone outside the company; in particular, you will ensure that no email goes unanswered in more than one business day and no phone call is missed (during business hours). You will ensure orders are paid and accounted for, we don't run out of stock of supplies and products, the coffee machine is loaded, and so on. Speaking broadly, expect everything that is not directly related to R&D to be your responsibility, at least partially.

We use a standard suite of business tools: Google Workspace for emails & docs, Shopify for e-commerce, ChatGPT, GitHub, Wiki.JS, Slack, and SimplBooks for accounting. We have a number of automation scripts (e.g., for accounting data entry), and it would be a major plus if you had at least basic knowledge of Python.

Excellent written English is required, as all of our customer base is located outside of Estonia. We mostly speak English internally as well, although understanding Estonian and/or Russian is a plus.

We value autonomy and avoid micro-management. Our workflow is extremely low-overhead; we prefer personal responsibility and accountability over strict business processes/policy. To succeed, you must be able to work out solutions on your own instead of relying on a clear set of instructions.

The schedule is flexible, but you are expected to show up in the lab every business day -- there is no remote/hybrid option available; for this reason, we only consider candidates who are based in Tallinn or are willing to relocate. We are conveniently located in the Old Town, so commuting should not be a problem.
