Notebook Agency is growing. We're hiring a Project Manager to keep our SEO and content deliverables running like clockwork. As our next Project Manager, you’ll work closely with Steve Toth and our Client Facing Strategists, translating client needs into clear, actionable tasks for our backend SEO and content teams. You’ll make sure nothing slips through the cracks from recurring monthly deliverables to time-sensitive ad hoc requests, so our strategists can focus on high-impact SEO work while you keep the machine moving.
Before you Apply! We’re seeking a Project Manager who understands SEO, not an SEO who happens to use project management tools. It’s critical.
- Coordinate and track all deliverables between Client Facing Strategists, backend SEO strategists, and the content team.
- Assign tasks based on team capacity and current workloads to ensure timely, high-quality output.
- Manage both recurring monthly deliverables and ad hoc requests that come from client strategy meetings.
- Communicate regularly with Client Facing Strategists on project status, potential bottlenecks, and any risks to deadlines.
- Create clear, comprehensive task descriptions with all necessary context, resources, and timelines.
- Oversee deliverable timelines from initiation to completion, ensuring nothing slips through the cracks.
- Participate in onboarding new clients and periodic client check-ins, while leaving day-to-day communication to the Client Facing Strategists.
- Maintain and update project tracking systems, ensuring all stakeholders have visibility on progress and priorities.
- Proactively identify opportunities to improve workflow efficiency and communication between teams.
SOPs & Documentation
- Reviewing, creating, and maintaining SOPs to ensure repeatability and scalability.
- Embedding SOP references directly into task templates so new/junior team members can follow without guidance.
Quality Assurance (SEO-Specific)
- Acting as a QA layer: checking deliverables for accuracy, completeness, and SEO best practices before client delivery.
- Adding the “final 10% polish” to strategist outputs.
- Thrive on keeping complex projects organized and moving forward without missing a detail.
- Enjoy balancing multiple priorities and know how to adjust workloads across teams to meet deadlines.
- Write clear, concise, and actionable task instructions that leave no room for confusion.
- Are proactive in spotting potential issues and addressing them before they become problems.
- You take direction well and can follow established processes and instructions while keeping tasks on track.
- You’re receptive to feedback, open to coaching, and use it to continually improve your work and workflows.
- Communicate with clarity and confidence, whether updating strategists or following up with team members.
- Have a solid understanding of SEO fundamentals and can follow SEO related requirements in project tasks.
- Are comfortable working in a fast-moving SEO and content production environment.
- Take pride in delivering work that’s not just on time, but well-structured and high-quality.
- Have a collaborative mindset and see yourself as the bridge between multiple stakeholders.
- Can adapt quickly to shifting priorities and evolving project requirements.

Compensation
Base salary: $50,000 - 90,000 USD, depending on experience and location
