About The Role
Join our vibrant, cross-Baltic People & Culture team as an Office Operations & Events Manager, where you’ll be the heart and driver of our workplaces in Tallinn.
Your mission is to ensure our offices are engaging spaces where our people feel welcomed and valued, while also creating unforgettable internal events that strengthen connection and team spirit.
Beyond keeping our offices running seamlessly, you’ll take the lead on an exciting, high-impact project — managing the end-to-end relocation of our Tallinn office to Ülemiste City in 2026.
In this role, you’ll thrive in an environment where adaptability and creative problem-solving are your superpowers. You’ll split your time between our two office locations, Rukki and Pallasti, working closely with our Latvian and Lithuanian Workplace Specialists and other key stakeholders to align initiatives and bring fresh ideas to life.
What You’ll Do
- Lead the planning and execution of Omniva’s office relocation project in collaboration with the People & Culture team.
- Ensure our office environments are engaging, warm, and welcoming to employees and visitors.
- Manage daily office operations, including supplies, maintenance, and infrastructure topics with internal stakeholders.
- Coordinate with vendors and manage office-related supplier relationships.
- Oversee canteen and food service organization, ensuring quality and satisfaction for employees.
- Partner with the Health & Safety Manager to maintain safe and well-equipped office spaces.
- Act as the go-to contact for employees on office logistics and facilities.
- Track office expenses and support budgeting and cost optimization efforts.
- Plan and deliver internal events that strengthen Omniva’s culture and connect people across the Baltics.
- Support People & Culture projects related to onboarding, engagement, and internal communication.
- Proven experience in office and project management.
- Demonstrated success in managing complex projects — office relocations or workplace design experience is a plus.
- Strong organizational skills and a “get things done” mindset.
- Proactive and independent, with confidence to take the lead and make decisions.
- Excellent communication and stakeholder management abilities.
- A people-first, caring, and supportive approach.
- Fluent in English; Estonian is a plus.
- Willingness to work primarily on-site — ideally 2 days at our Rukki office and 2 days at our Pallasti office (or 3 full office days + 2 remote).
