The Executive Assistant (EA) to the Chairman provides high-level administrative support,
ensuring smooth and efficient operations of the executive office.
Key Responsibilities
- Calendar & Schedule Management: Coordinate and maintain the Chairman schedule, meetings, appointments, and travel itineraries.
- Communication: Screen, respond to, and prioritize emails, phone calls, and correspondence on behalf of the Chairman
- Meeting Support: Prepare agendas, take minutes, follow up on action items, and ensure relevant materials are distributed ahead of time.
- Travel Arrangements: Plan complex domestic and international travel, including flights, accommodation, ground transportation, and detailed itineraries.
- Information Management: Maintain confidentiality while managing files, records, and documents critical to executive operations.
- Project Coordination: Assist with key strategic projects, initiatives, and presentations; track progress and deadlines.
- Stakeholder Liaison: Act as the primary point of contact between the Chairman and internal/external stakeholders.
- Office Administration: Support broader administrative functions as needed to ensure organizational efficiency.
Qualifications
- Bachelor’s degree preferred.
- 7+ years of experience in a senior administrative or executive assistant role.• Exceptional written and verbal communication skills.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and other productivity tools.
- High level of professionalism, discretion, and integrity.
- Strong organizational, problem-solving, and decision-making skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
Preferred Skills
- Experience supporting C-suite executives.
- Familiarity with meeting protocols and governance.
- Tech-savvy with a proactive mindset and strong attention to detail.
