Join Our Team as an Administrative Assistant – HR!

At the International School of Luxembourg (ISL), people are at the heart of everything we do — our students, our staff, our families, and our community. We’re looking for an Administrative Assistant – HR who shares our passion for supporting others and creating an environment where everyone can thrive.

If you love organisation, enjoy connecting with people, and take pride in making sure things run smoothly behind the scenes, this role is for you.

About the Role

As part of our HR team, you’ll be a key point of contact for staff and service providers. You’ll help ensure that our school attracts, recruits, and retains exceptional people who share our commitment to educational excellence — and you’ll play an important part in fostering staff wellbeing along the way.

You’ll report to the Head of HR and collaborate closely with a dedicated and supportive HR team.

What You’ll Do

You’ll support the HR team with a variety of key tasks, such as:

  • Maintaining and updating HR information systems and staff databases
  • Coordinating staff absences and medical documentation
  • Assisting with staff health initiatives — from official documentation to organizing annual health checks and flu shots
  • Supporting recruitment and onboarding processes for new employees and service providers
  • Helping organize professional development activities and HR recognition programmes
  • Managing HR-related inquiries and ensuring staff get the right information at the right time
  • Assisting with purchase orders and general HR administration

And, as with any dynamic school environment, you’ll take on other meaningful projects that contribute to the smooth running of the HR office.

We are keen to attract applicants from diverse backgrounds, particularly those whose nationality, identity, gender or race is currently under-represented in international education.

We are committed to safeguarding and prioritising the wellbeing of children and young people and expect all staff to share this commitment.

Profile: (training, experience, skills and aptitudes necessary to do the job)

  • Further education or professional learning in Human Resources (strongly preferred)
  • Excellent interpersonal and communication skills — both written and spoken
  • Strong computer literacy (Excel, databases, Office 365, etc.)
  • Up to 3 years’ experience in a similar administrative role, ideally in a multicultural setting
  • Fluency in English with working knowledge of German or French (Luxembourgish a plus)
  • Great organisational and time management skills
  • A collaborative mindset and a “how can I help?” attitude

If you have not been contacted after the deadline, your application is potentially unsuccessful but, in any case, you will receive an official answer.
