About the Role

We are seeking an exceptional Executive Assistant to provide high-level, end-to-end support to the CEO of a globally distributed organization. The CEO’s role involves extensive travel and coordination across multiple time zones, requiring a trusted partner who can anticipate needs, maintain seamless operations, and proactively resolve issues before they arise.

This position calls for outstanding organizational skills, discretion, and the ability to manage complex schedules and competing priorities with precision and care.


Key Responsibilities


Executive & Operational Support:

  • Provide comprehensive administrative and strategic support to the CEO, ensuring smooth day-to-day operations
  • Manage complex calendars, inboxes, and task prioritization across multiple global stakeholders
  • Anticipate potential conflicts, bottlenecks, or logistical issues and take pre-emptive action to avoid disruption.


Meeting & Communication Management:

  • Coordinate internal and external meetings, both virtual and in-person, including scheduling, agendas, materials, and follow-ups
  • Support weekly video conferences and executive sessions, ensuring all logistics and pre-reads are in order.
  • Serve as the primary liaison between the CEO and internal/external stakeholders with utmost professionalism and confidentiality.


Travel & Logistics:

  • Plan and manage complex international and domestic travel itineraries - including flights, accommodation, visas, meetings, local logistics, client entertainment, and related expense claims.


Project & Event Support:

  • Assist in planning and executing CEO-led initiatives such as town halls, management meetings, strategy sessions, and departmental events.


Documentation & Reporting:

  • Prepare, proofread, and format documents, presentations, and reports for executive review.



Ideal Profile:

  • Education: Bachelor’s degree or equivalent experience
  • Experience: Proven track record supporting C-suite executives or senior leadership in a fast-paced, global environment
  • Proactive & Anticipatory: Naturally one step ahead—able to foresee potential issues and address them before they escalate
  • Exceptional Organization: Adept at managing multiple moving parts, often across time zones, while maintaining meticulous attention to detail
  • Professionalism & Discretion: Exercises sound judgment, integrity, and confidentiality in all matters
  • Service-Oriented Mindset: Genuinely takes care of the CEO and team, ensuring a seamless experience and peace of mind
  • Critical Thinking: Analytical mindset with strong problem-solving and prioritization skills.
  • High Initiative: Self-starter who takes ownership and drives projects forward with minimal supervision.
  • Attention to Detail: Precision and accuracy in every aspect of work.
  • Tech Proficiency: Advanced in Google Workspace, Microsoft Office Suite and collaboration tools (Slack, Teams, Zoom etc.); quick to adopt new technologies.
  • Languages: Fluency in English and an Asian language will be preferred
  • Collaboration: A natural team player with outstanding interpersonal and communication skills, able to engage confidently with global stakeholders and executive teams.
  • Adaptability: Comfortable working across time zones and adjusting priorities in response to changing business needs.
