🎯 Role Overview

As the Project Manager / Change Manager, you will lead EVOCS’ transformation of systems and processes — with a primary focus on implementing our new Professional Services Automation (PSA) platform, Productive.io.

You will own the overall delivery and change strategy from discovery through go-live and stabilization: aligning stakeholders, orchestrating workstreams, ensuring governance, and driving adoption across all teams.

While the role will be hands-on during the implementation phase, its primary focus is to ensure coordinated execution, strong change leadership, and sustainable adoption — not system administration.


🧩 What you will do

In this role, you will:

Project Management & Delivery

  • Own the end-to-end implementation plan: scope, timeline, budget, resourcing, RACI, and governance.
  • Drive cross-functional collaboration between Operations, Finance, Sales, Delivery, and Leadership to ensure alignment and accountability.
  • Establish a steering committee and working groups; set clear cadences, decision logs, and a transparent RAID (risks, assumptions, issues, dependencies) process.
  • Manage vendor coordination, ensuring timely resolution of issues and proactive communication with stakeholders.

Change Management & Communications

  • Lead the change strategy for the PSA implementation: stakeholder analysis, change impact assessments, communications planning, and champion network creation.
  • Craft and deliver clear, role-based messaging that explains the why, what’s changing, and how to get help.
  • Partner with leadership and functional heads to ensure consistent and transparent communication throughout the change journey.
  • Lead adoption campaigns, readiness assessments, and engagement sessions to promote lasting behavioral change across teams.

Training & Enablement

  • Design and deliver enablement programs: workshops, office hours, 1:1 coaching, quick-reference guides, SOPs, and short video walkthroughs.
  • Build and maintain a searchable knowledge base, ensuring training materials stay current through go-live and beyond.
  • Measure adoption through defined KPIs (e.g., timesheet compliance, data accuracy, process adherence).

Implementation Coordination (Short-Term, Transitional)

  • During implementation, the PM will take an active, hands-on role in coordinating and executing configuration activities in Productive.io, supported by vendor resources or internal SMEs as available.
  • This includes validating workflows, templates, roles/permissions, and process logic to ensure alignment with business needs. Configuration ownership is transitional and intended to be transferred to designated internal owners post go-live.
  • Oversee data migration planning and validation, ensuring responsible teams complete testing and reconciliation.
  • Collaborate with internal technical resources to define integration or automation requirements, ensuring alignment with business processes.
  • Maintain clear documentation of decisions, processes, and configurations to support long-term system continuity.

Knowledge Transfer & Sustainability

  • Ensure that Productive.io knowledge, configuration logic, and process documentation are continuously shared with designated internal owners (e.g., Operations Lead, Practice Coordinator) so that long-term system ownership transitions smoothly to internal leads..
  • Facilitate regular demos and walkthroughs of the configured environment to maintain visibility and redundancy.
  • Support a smooth handoff post-implementation, enabling other internal roles to own system administration and ongoing optimization.

Post Go-Live & Continuous Improvement

  • Lead hypercare and stabilization with clear SLAs, managing a backlog of enhancements and process improvements.
  • Conduct retrospectives, capture lessons learned, and translate them into durable improvements.
  • Track adoption metrics, surface risks, and drive proactive remediation across teams.


🧠 What you will bring

The top candidate will have the following skills:

  • 5–8+ years of experience in project and/or program management, including significant change management responsibilities.
  • Proven success leading system or process transformation projects, ideally within professional services or consulting environments.
  • Experience implementing PSA or similar enterprise systems (e.g., Productive.io, Kantata/Mavenlink, FinancialForce, NetSuite OpenAir) — coordinating configuration, data migration, integrations, and rollout.
  • Demonstrated ability to deliver training and enablement at scale, including documentation, workshops, and 1:1 coaching.
  • Strong stakeholder management, meeting facilitation, and executive-ready communication skills (written and verbal).
  • Analytical rigor and comfort with spreadsheets, dashboards, and data tracking.
  • Familiarity with integrated systems such as CRM (HubSpot/Salesforce), Accounting (QuickBooks/NetSuite), HRIS/Payroll, and SSO platforms (Okta/Azure AD).


Ideally you have...

  • Certifications such as PMP, Prince2, CSM, or Prosci/ADKAR (or equivalent).
  • Experience working with automation tools (Zapier, Make) or documentation platforms (Confluence, Notion, Miro).
  • Prior experience in a high-growth consultancy or MSP where utilization, margin, and predictability were key performance metrics.

📝 Notes for candidates: Experience with Productive (productive.io) is strongly preferred. Please highlight relevant PSA implementations, your change/adoption outcomes, and examples of training content you’ve created (e.g., guides, short videos, or SOPs).

This role includes active participation in Productive.io configuration during the implementation phase. After go-live, configuration and administration responsibilities transition to designated internal owners.
