Summary:
Our client, a biopharmaceutical company located in Waterford, is seeking a Project Controls Administrator to join their Capex Group on-site. The Project Controls Administrator will play a vital role in supporting the efficient execution of capital projects and ensuring that projects are completed on time and within budget. This position requires strong organizational skills, excellent communication, and the ability to work effectively in a fast-paced, dynamic environment.
Responsibilities:
- Maintain and organize project documentation, including plans, schedules, reports, and correspondence, to ensure accessibility and accuracy for the project team.
- Facilitates effective communication between project team members, stakeholders, and contractors.
- Distribute project-related information and updates as required.
- Assist in maintaining project schedules, including milestone tracking and deadlines.
- Manage project change controls process.
- Support project cost tracking and reporting, ensuring expenses align with approved budgets.
- Coordinate procurement activities, such as purchase orders, vendor contracts, and material deliveries, to ensure the timely availability of resources for the project.
- Schedule and prepare for project meetings, including arranging conference rooms, distributing agendas, taking meeting minutes, and following up on action items.
- Maintain accurate records of project-related transactions, approvals, and changes.
- Assist in maintaining project databases and spreadsheets.
- Assist in documenting, and mitigating project risks, and work collaboratively with the project team to develop contingency plans.
- Support the generation and quality control of Business plans and coordinate with other key functions including Finance, and program management office.
Qualifications & Experience:
- Proven experience in project administration or a related role within a pharmaceutical or construction environment.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in project management software (e.g., Microsoft Project, Smartsheet) and Microsoft Office Suite.
- Familiarity with pharmaceutical industry regulations and standards is a plus.
- Ability to work independently, take initiative, and problem-solve effectively.
