The Talent Operations Coordinator (TOC), reporting to the Manager of Talent Operations, is responsible for supporting the entire employee lifecycle, from onboarding to offboarding. The TOC offers comprehensive execution support to the Talent team across all North American entities. This position acts as the operational foundation for the Talent team to ensure a seamless and positive experience for approximately 8,000 employees.

All the responsibilities we'll trust you with:

ONBOARDING

Handle relocations via the vendor portal and address any exceptions that arise. Provide a seamless onboarding experience from the first day by conducting onboarding calls for new hires. Ensure compliance for new hires by completing I-9 forms and auditing their paperwork.

OFFBOARDING

Oversee the voluntary termination process. Submit IT separation requests and coordinate with the IT department regarding the return of employee equipment. Complete HR separation forms, including final pay details. Prepare and send exit emails to departing employees, including state-required documents.

COMPLIANCE

Manage unemployment claims through the vendor portal. Provide additional compliance support to the business, including state-mandated posters, informational materials, reporting, follow-ups, and communications. Assist Compensation with updates regarding minimum wage changes. Draft confirmation letters for off-cycle pay adjustments and in-role promotions. Prepare repayment and recoupment letters as necessary.

SYSTEM PROCESSING

Submit requests for Leaves of Absences (LOAs), separations, title/manager/organizational changes, as needed. Ensure digital personnel files are accurately maintained; send updated documents for signature using a third-party platform. Provide assistance in addressing questions and resolving issues within Zendesk related to IT, Payroll, and Benefits. Handle Level 1 inquiries and concerns regarding Talent systems (ECM, My Wings, and Amplify). Generate SAP reports on demand, including ad hoc requests from TBPs and COEs.

Benefits Support

Submit COBRA subsidies. Complete Qualified Medical Support Notices. Review and approve life event changes, and provide support for open enrollment. Assist with Leave of Absence (LOA) management by collecting and submitting LOA documents to the Third Party Administrator, tracking Worker's Compensation Light Duty Agreements, and supporting ADA requests. Support Talent Business Partners (TBPs) with LOA Interactive processes and Return to Work procedures.

PROGRAM SUPPORT

Organize on-site training sessions. Collaborate with Centers of Excellence (COEs) to update the Talent Playbook and manage communications. Process reimbursements for tuition assistance. Assist with New Leader Assimilation training programs. Offer guidance on tools and talent resources, such as Amplify and ECM.

Your areas of knowledge and expertise that matter most for this role:

  • A minimum of a high school diploma or equivalent (GED) is required; a bachelor's degree is highly preferred.
  • At least 1 year of experience in delivering exceptional customer service to create premium experiences for employees.
  • Proven ability to manage multiple projects simultaneously.
  • Familiarity with the coordination of leaves and benefits processes.
  • Must be a proactive problem solver, detail-oriented, flexible, and a team player; should demonstrate independence, requiring minimal supervision, while efficiently handling requests in a dynamic environment.
  • Capability to appropriately manage sensitive and confidential information.

This position is open to U.S. citizens, U.S. permanent residents, or individuals who are currently authorized to work in the United States on a valid visa.

The base salary range for this position is $58,400 - $87,600 + cash incentives. Actual salary offers may vary based on work experience. The base pay range is subject to change and may be modified.
