Job Summary:
The HR Coordinator supports the Human Resources team in day-to-day operations, with a primary focus on new hire processing, HR data entry, and employee record maintenance in ADP for both corporate and retail locations. This role plays a critical part in ensuring a seamless employee onboarding experience, maintaining accurate HR records, and supporting HR processes related to employee lifecycle events.
Responsibilities:
- Process and upload all new hires into ADP (Workforce Now) for corporate and retail employees.
- Verify new hire documentation for accuracy and compliance (I-9s, tax forms, employment agreements, etc.)
- Coordinate with hiring managers, IT, and payroll to ensure new employees are properly set up in all systems.
- Prepare and distribute new hire welcome materials, credentials, and system access information.
- Maintain onboarding checklists with cross functional partners to ensure timely completion of required tasks.
- Maintain and update employee information in ADP, ensuring accuracy of job titles, departments, pay rates, and employment status.
- Process employee changes such as promotions, transfers, terminations, and status updates.
- Conduct regular audits of employee records to ensure compliance with company policies and legal standards.
- Assist with data entry for performance reviews, benefits enrollment, and compliance reporting.
- Respond to employee inquiries regarding HR policies, onboarding, and system access in a timely and professional manner.
- Support payroll and HR teams with employee updates, timesheet corrections, and related data entry.
- Assist with HR reporting and analytics requests.
- Help support with employee engagement activities and HR communications.
- Maintain confidential employee files in accordance with company policies and state/federal regulations.
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- 1–3 years of HR administrative experience; exposure to multi-location or retail environments is a plus.
- Experience using ADP (Workforce Now, RUN, or similar) strongly preferred.
- Strong attention to detail and accuracy in data entry and record keeping.
- Excellent organizational and multitasking skills in a fast-paced environment.
- Strong communication and interpersonal skills with a service-oriented mindset.
- Proficiency in Microsoft Office (Excel, Outlook, Word).
- Ability to handle confidential information with discretion.
