Project & Operations Manager (Remote, US Hours)


Company Overview

Our client is a fast-growing app and software test automation community and event organization that connects QA professionals and sponsors through an annual five-day online event and ongoing year-round partnerships. The company collaborates with global sponsors to promote their tools and services to a community of software testers.


Role Overview

We’re seeking a proactive, outgoing, and organized Executive & Operations Assistant to support the company’s Operations Manager and Founder in day-to-day activities. This role blends executive support, project coordination, and light client/sponsor communications. You will play a key role in managing workflows, following up with sponsors and speakers, handling administrative duties, and keeping operations running smoothly.

The ideal candidate thrives in a fast-paced environment, is confident communicating with clients, and can anticipate needs without being told. This position is fully remote but requires availability during US Eastern Time hours.


Key Responsibilities

  • Provide direct administrative and operational support to the Operations Manager and Founder.
  • Handle email management, scheduling, and proactive follow-ups with clients, sponsors, and event speakers.
  • Coordinate project timelines and track deliverables using Podio or similar project management tools.
  • Assist in managing sponsor relationships, ensuring timely responses and professional communication.
  • Help organize and prepare for the annual five-day virtual event, including scheduling, logistics, and speaker coordination.
  • Support the company’s online community of testers (similar to a Slack environment), providing direction and help-desk-style assistance when needed.
  • Review and proofread social media or marketing materials for grammar, clarity, and tone.
  • Maintain organized records in Google Drive, Dropbox, and Outlook.
  • Shadow and gradually take over tasks from the current Operations Manager to ensure seamless workflow transition.


Qualifications

  • Proven experience as an Executive Assistant, Operations Assistant, or Project Coordinator.
  • Excellent written and spoken English communication skills — capable of professional correspondence and proofreading.
  • Strong organizational and multitasking abilities with attention to detail.
  • Proficiency in tools such as Outlook, Google Workspace, Dropbox, and basic familiarity with project management software (e.g., Podio, Asana, or Trello).
  • Demonstrated ability to work proactively and independently in a fully remote setup.
  • Outgoing personality and professional demeanor when dealing with clients or sponsors.


Preferred Qualifications

  • Prior experience supporting event coordination or client relationship management.
  • Background working with marketing or social media teams.
  • Experience supporting US-based clients in similar time zones.


Schedule & Commitment

  • Part-time to start: ~20 hours per week, with potential to increase to 30–40 hours based on performance and company needs.
  • Work hours: Must align with US Eastern Time (New York) hours.
  • Flexible start time; opportunity to grow into a long-term, full-time role.
