People Operations Specialist

Who We're Looking For

We are seeking a detail-oriented and proactive People Operations Specialist to join our team on a 12-month fixed-term contract. As an Operations Specialist, you will play a pivotal role in providing a comprehensive HR service to our HR Business Partnering Team and employees across APAC.

Your responsibilities will encompass a wide range of administrative, operational, and project management support. From ensuring the accuracy and efficiency of HR processes to managing human resources information and system transactions, you will be at the forefront of delivering professional and top-notch HR services. By maintaining high standards and adopting best practices, you will help shape the way we deliver HR services and drive positive outcomes for our employees and the business as a whole.

What You'll Do

  • Employee Lifecycle Management: Administer onboarding, transfers, and leaver processes, working closely with Talent Acquisition and Payroll teams to ensure seamless experiences for joiners and leavers.
  • Work Pass & Regulatory Management: Liaise with work pass vendors to handle applications and renewals; ensure compliance with reporting requirements from legal/regulatory bodies
  • HR Mailbox & Enquiries: Manage the HR mailbox, providing prompt and accurate responses to employee queries and HR matters.
  • Records & Document Management: Update and maintain accurate electronic employee files and key documents, ensuring compliance with data protection regulations.
  • Reporting & Data Management: Produce and consolidate HR reports for internal teams and external agencies, ensuring data accuracy and timely delivery.
  • Process Improvement & Documentation: Maintain and develop operational manuals and HR process documentation; participate in system testing and HR projects.
  • Invoicing: Process invoices related to HR services, ensuring accuracy and timely payments.

What You'll Bring

  • Strong attention to detail: You have a keen eye for detail and can ensure accuracy and thoroughness in your work, especially when handling confidential information.
  • Ownership and initiative: You take ownership of your tasks and show initiative in completing them.
  • Communication and interpersonal skills: You possess excellent communication skills, both written and verbal.
  • Positive attitude and integrity: You have a positive attitude and approach your work with integrity, reliability, and commitment to the team's success.
  • Previous HR support or administrative experience: While not required, previous experience in an HR support role or administrative position would be beneficial.
