Role Overview

We are looking for a Product Owner with a strong software and process optimization background to lead the evolution of our Document and Workflow Management platform — a scalable SaaS solution that enables digital document handling, approval automation, and organizational efficiency within the MyNEOS ecosystem.

You will bridge the gap between business needs and software delivery — defining product requirements, aligning priorities with stakeholders, and ensuring the platform meets performance, usability, and security standards expected from enterprise clients.


IDEAL CANDIDATE


Required:

  • 4–6 years of experience as Product Owner / Product Manager in enterprise software, SaaS, or B2B workflow automation.
  • Proven experience in document management systems (DMS), workflow automation, or e-signature solutions.
  • Strong understanding of business process modeling (BPMN), version control, and metadata handling.
  • Familiarity with cloud-based architectures (AWS, Azure, GCP) and integration via APIs / SSO / ERP / CRM.
  • Proficiency in Agile / Scrum, backlog management, and collaboration tools (Jira, Confluence, Aha!).
  • Excellent communication and stakeholder management abilities.
  • Fluent English (spoken and written).

 

Preferred / Nice to Have:

  • Degree in Computer Science, Business Information Systems, or Software Engineering.
  • Certifications: CSPO, SAFe PO/PM, or PMI-ACP.
  • Experience with OCR, digital signature, or document retention compliance systems.
  • UI/UX awareness and ability to collaborate with designers on usability improvements.


JOB DESCRIPTION


Product Strategy & Ownership

  • Define the vision, strategy, and roadmap for the Document & Workflow Management platform.
  • Balance business priorities, customer feedback, and technical dependencies.
  • Partner with engineering, UX/UI, QA, and support teams to ensure coherent product delivery.
  • Establish KPIs for platform performance, user engagement, and process efficiency.
  • Maintain alignment with the overall NEOS Smart City ecosystem.


Platform Responsibilities

  • Own product requirements for document handling, workflow configuration, and automation logic.
  • Manage integrations with authentication systems (SSO, LDAP), ERPs, and other corporate tools.
  • Define and validate APIs for file management, metadata, and approval routing.
  • Work closely with DevOps to ensure scalability, reliability, and data protection compliance.
  • Oversee the user experience related to document creation, signing, routing, and archiving.
  • Ensure compliance with ISO 27001, GDPR, and regional data protection regulations.


Cross-Functional Collaboration

  • Translate business needs into actionable user stories and acceptance criteria.
  • Actively participate in Agile ceremonies (planning, review, retrospectives, stand-ups).
  • Coordinate with QA to define testing standards and acceptance benchmarks.
  • Align with cybersecurity teams on data encryption, audit trails, and access control.
  • Collaborate with UI/UX teams to design intuitive dashboards and document tracking views.


Customer & Sales Enablement

  • Support pre-sales and sales engineering activities with platform demonstrations.
  • Work with marketing and product enablement teams to prepare product decks, case studies, and demo environments.
  • Collect customer feedback to drive roadmap evolution and improve onboarding experience.
  • Represent the product in trade shows, client workshops, and smart city events.
