Senior People Operations Specialist

We're seeking a People professional who can operate as a Senior People Operations Specialist. This role requires someone who is detail-oriented and skilled in day-to-day HR operations. You’ll be expected to navigate administrative, compliance, and data driven aspects of the People function to ensure smooth processes. The role is hybrid in Tallinn but we are open to remote as long as you are able to come into the office when needed.

People Operations Specialist

• Manage and continuously improve HR processes across the employee lifecycle (onboarding, offboarding, payroll coordination, leaves, compliance, etc.).
• Being part of the full employment lifecycle for our Veriffians and supporting them from onboarding through offboarding.
• Preparing, reviewing and updating employment contracts, amendments and terminations.
• Being the first point of contact for all documentation and time-off questions.
• Conduct background and identity checks based on our internal policies.
• Ensure accurate HR data entry and maintenance in internal systems (HRIS), supporting audits and reporting needs.
• Coordinate and manage benefits administration, including vendor relationships and employee inquiries.
• Ensure compliance with local labor laws (e.g., Estonia-specific regulations).
• Support employee documentation (contracts, amendments, certifications, etc.)
• Have a strong understanding and working knowledge of people related policies/benefits , and act as the first point of contact to address any queries related to the same.
  
  
  

You are the right future Veriffian for the job if you have/are:

• 3+ years in HR administration
• Experience in a fast-paced or high-growth environment (e.g., tech, startups) is a plus.
• Strong admin skills and familiarity with tools like Confluence, Google Drive, and Google Sheets
• A passion for streamlining data entry, system implementations, and finding ways to make our teams more productive and collaborative
• Clear and effective communicator
• Commitment to data accuracy, confidentiality, and best practices in People systems
• Highly motivated entrepreneurial spirit, with the drive to understand business needs, respond promptly and proactively seek guidance to resolve concerns.
• Exemplary professional integrity with the ability to maintain confidentiality and a sense of responsibility and accountability
• Well organized, flexible and enjoys the challenges of people operations.
• Strong people/interpersonal skills with the ability to build relationships/collaborate with others
• Detail-oriented and extremely organized with an ability to multi-task & prioritize tasks
• Effective time management skills with a proven ability to meet deadlines
• Ability to understand business needs, consistently meet expectations and respond promptly and professionally to business requests, seeking guidance as appropriate.
