About the Company

Heliopolis is an Italian holding specialized in development, engineering, project and construction management for renewable energy plants (wind, photovoltaic, and BESS storage). With established operations in Romania and a dynamic, fast-growing environment, we are seeking a proactive and driven Office Manager & HR Assistant to join our team in Bucharest.


About the Role

We are looking for an Office Manager & HR Assistant who will oversee the daily operations of our Bucharest office, support administrative and HR processes, and act as a key point of contact between the Romanian and Italian teams. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a dynamic and evolving environment.


Key Responsibilities

  • Office Coordination: Manage daily office operations, including workspace organization, supplier relations, general services, and operational support across departments.
  • Administrative Support: Collect, organize, and transmit administrative and accounting documentation; manage expense reports and ensure proper information flow to the administrative team.
  • HR Assistance: Support attendance tracking, personnel documentation, onboarding/offboarding processes, and maintain regular communication with the HR team in Italy.
  • Recruitment Support: Publish job postings, screen profiles, conduct initial candidate outreach, and coordinate interviews.
  • Cross-Country Liaison: Act as an operational reference point between Romania and Italy for the HR, IT, and Administration departments, ensuring clear communication and process alignment.
  • Fleet Management: Monitor vehicle deadlines, maintenance activities, insurance, and fuel card usage.
  • Digital Document Management: Maintain and update digital archives and shared documentation to ensure accessibility and accuracy.


Requirements and Skills

  • 3 years of experience in office management and HR administrative activities, preferably in an international environment.
  • Strong organizational skills, autonomy, precision, and ability to coordinate with multiple corporate functions.
  • Excellent command of English (written and spoken); knowledge of Italian is a strong plus.
  • Proficiency in Excel and confidence with digital tools and cloud-based archives.
  • Strong communication skills, problem-solving attitude, and ability to manage priorities.


Nice-to-Have

  • Experience in multinational companies or fast-growing environments.
  • Previous involvement in recruitment processes and basic HR administration.
  • Knowledge of Romanian labor regulations is considered an advantage.
