We are currently looking for experienced HR Systems and Personnel Administration Coordinator. The role involves providing comprehensive HR support HUBER+SUHNER Polatis by acting as the first line of contact in the department. The role involves delivering excellence in HR administration, benefits administration, system management, policies and procedures and reporting. The key aspect of the role involves preparing and processing payroll including the compilation and verification of working time information. The role acts as the first point of contact for HR administration whilst supporting the HR Manager with other HR duties as requested. In all aspects of the role, we require accountability; transparency; passion; care and trust whilst fostering a positive and support environment for our employees to thrive. The position involves work across 2 manufacturing plants (Nawojowa Góra and Pisary).
Key tasks:
- Administer and manage employee documentation and personnel files in compliance with legal standards.
- Administer employment contracts, renewals, and terminations with care and attention to detail.
- Coordinate onboarding and offboarding processes, ensuring system updates and clear internal communication.
- Monitor validity of medical examinations and prepare referrals, showing care for employee well-being.
- Support internal HR knowledge sessions (labor law, time tracking, HR systems).
- Perform ad hoc duties as required to support the HR team.
- Prepare and verify payroll input data (salary changes, absences, bonuses, overtime, etc.) with a focus on excellent data accuracy and accountability.
- Collect, process, and prepare working time data for payroll.
- Liaise with payroll providers, ensuring transparent and timely communication.
- Manage employee benefits (enrolment, changes, opt-outs).
- Ensure accurate reporting of absenteeism, overtime, holidays, and turnover.
- Update HR systems and maintain trackers for new starters, leavers, and contract changes.
- Produce monthly reports (Headcount, FTE, absenteeism, payroll summaries) with a commitment to data accuracy and transparency.
- Ensure data accuracy across HR platforms and documentation.
- Ensure compliance with legal requirements and internal standards, demonstrating accountability and transparency.
- Maintain proper documentation for all HR legal forms.
- Manage Social Fund (ZFŚS): calculations, records, and benefit processing.
- Support administration of temporary employees.
- University degree in Administration, HR, or related field.
- At least 5 years of experience as a Personnel Administration Specialist or similar role within a manufacturing environment.
- Proven experience in managing and maintaining personnel documentation in accordance with legal and organizational standards.
- Strong hands-on experience with Polish labour law regulations.
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and other relevant systems.
- Excellent data accuracy and analytical skills, with a strong focus on detail in all tasks.
- Experience in payroll processes and understanding of compensation frameworks.
- Hands-on experience with HRIS systems (familiarity with SuccessFactors and Symfonia is an asset).
- Excellent English communication skills
- Report writing experience and ability to present HR data clearly and transparently.
- System experience across enterprise platforms, with the ability to navigate and optimize digital workflows.
- High quality customer service approach and strong interpersonal skills, demonstrating care and passion for supporting others.
- Flexible and able to adapt quickly to new challenges.
- Able to work effectively under pressure
