About The Role
We are seeking a highly experienced Executive Assistant to support our Vice President and senior leadership team. This role involves managing complex calendars, scheduling appointments, and coordinating meetings with precision and efficiency. The successful candidate will draft and review correspondence, presentations, and reports, ensuring accuracy and adherence to company standards. You will play a crucial role in optimizing leadership’s time by prioritizing tasks and making informed decisions on short-term activities.
Additionally, you will facilitate travel arrangements, including visa and passport processing, and support expense management through reconciliation and documentation. The role also involves assisting with onboarding new hires, managing internal processes, and identifying organizational issues to initiate or facilitate solutions. This position requires a proactive, organized, and personable professional who can handle confidential materials with discretion and professionalism.
Qualifications
- Minimum of 10+ years experience supporting VP-level executives or senior management
- Proficient in leveraging AI tools and understanding their impact on work processes and decision-making
- Exceptional organizational skills with the ability to manage multiple high-priority projects
- Excellent communication skills, both written and verbal
- Strong professional demeanor and soft skills, including diplomacy and discretion
- Proficiency in Zoom, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Box, Concur, and Google Docs
- Experience handling confidential and sensitive materials
- Desire to grow professionally and take ownership of projects
- A positive, can-do attitude with a solution-oriented mindset
- Manage and maintain complex, dynamic calendars for senior leadership, resolving scheduling conflicts and prioritizing commitments
- Draft, review, and prepare correspondence, reports, presentations, and other executive communications
- Coordinate all aspects of travel arrangements, including booking flights, accommodations, and processing visas/passports, while ensuring compliance with company policies
- Assist with expense reporting, credit card reconciliation, and financial documentation for leadership activities
- Support onboarding processes for new hires, including setting up internal systems and providing guidance on internal procedures
- Identify operational issues within the organization and facilitate solutions or escalate appropriately
- Assist internal teams with administrative tasks, project coordination, and process improvements
- Ensure confidentiality and security of sensitive information at all times
- Support leadership in managing short-term priorities and work activities to maximize productivity
- Competitive base salary ranging from $92,300 to $152,300, commensurate with experience
