We are looking for a proactive and organized PMO Specialist to support our strategic initiatives within the S/4 Hana Transformation project and strengthen our team in Basel, Switzerland.


As a PMO Specialist, you will play a vital role in ensuring the smooth execution of project activities by providing administrative and operational support. This position requires exceptional organizational skills, attention to detail, and the ability to coordinate effectively with cross-functional teams.


In this role, you will be responsible for:

Project Administration:

  • Support project managers with administrative tasks, enabling them to focus on strategic responsibilities.
  • Maintain and organize project documentation, ensuring version control and accessibility.
  • Prepare communication materials for internal and external stakeholders.


Team Coordination:

  • Onboard new project members by creating user accounts and providing guidance on project processes.
  • Act as a key liaison between project teams and the external implementation partner PMO resource, ensuring seamless collaboration.
  • Schedule and coordinate meetings, distribute agendas and capture meeting minutes as needed.


  • Operational Support:
  • Track and follow up on project “to-dos” to ensure timely completion.
  • Develop high-quality slides and presentations for Mikado meetings.
  • Assist in tracking project milestones, deliverables, and deadlines.


Qualifications and Competencies:

  • Bachelor’s degree in business administration, project management, or a related field.
  • Proven experience in a PMO or administrative support role, preferably in project-driven environments.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and familiarity with project management tools (Jira, MS365 project)
  • Exceptional organizational and multitasking skills with a keen eye for detail.
  • Strong verbal and written communication skills in English; German is a plus.
  • Ability to work collaboratively in a team-oriented environment and build strong relationships with stakeholders.
  • Proactive mindset with a problem-solving attitude and the ability to work independently.
