Job Purpose:
The Administrator role exists to provide comprehensive and efficient administrative, scheduling, and documentation support to the AVP - FnB Production, ensuring smooth operations and enabling the AVP - FnB Production to focus on strategic leadership.
Key Result Areas
- Maintain a streamlined and professional office environment to ensure smooth workflow and a positive first impression by stakeholders and customers.
- Perform core clerical duties to support efficient office operations, including typing, scanning, photocopying, maintaining filing systems, and facilitating document distribution.
- Assist Executive Secretary to manage the AVP - FnB Production's schedule and travel arrangements to minimize conflicts and ensure timely execution.
- Maintain efficient document management and communication to deliver accurate and timely information within the Office.
- Monitor and maintain office supplies, printed materials, physical or digital documents and other equipment to ensure availability and smooth functionality of the office.
- Greet visitors and manage phone calls in a professional and courteous manner, directing inquiries appropriately.
- Support data-driven decision making for the AVP - FnB Production by assisting with gathering and analysing information for reports from various stakeholders.
- Maintain the confidentiality of all sensitive information handled within the Office by adhering to data security protocols and demonstrating professional conduct.
Knowledge, Skills & Minimum Experience:
Education Qualification:
- Higher Diploma in Business Administration or Commerce (must have)
- Bachelor’s degree (preferred)
Work Experience:
Years of Experience: Minimum 3 years of experience in relevant field preferably within the hospitality/airline industry
Skills:
- Excellent organizational skills with the ability to prioritize and multi-task.
- Strong written and verbal communication for clear and professional interactions.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Meticulous attention to detail for accurate execution of administrative tasks.
