Job Summary: This is a highly visible and demanding role whose focus is to continuously provide administrative support to the HR function and its internal customers, provide advice and guidance where appropriate in the role, and ensure quality service to employees at all levels within given deadlines.


Job Description:

HR Operations

  • Oversee end-to-end HR administrative processes, including onboarding, offboarding, employee changes, leave management, and contract administration.
  • Manage and maintain employee records, HRIS data, and documentation with accuracy and confidentiality.
  • Support the employee lifecycle by ensuring compliance with HR policies, procedures, and UAE labour laws.
  • Track probationary periods on a monthly basis for all locations. Liaise with relevant line managers to ensure probationary reviews are conducted prior to the probationary end date.
  • Draft probationary completion letters, promotion letters, experience certificates, etc.
  • Track visa and labour card renewals on a monthly basis for our entities. Liaise with employees in advance of expiry.
  • Maintain employee records, i.e. personnel files & employee folders. Ensure that each employee record contains relevant documentation such as resume, contract, identification, etc.
  • Administer our UAE medical insurance policy to ensure that additions & deletions are made in a timely manner.
  • Responsible for onboarding and offboarding activities as per checklist.
  • Issue letters as requested by employees for banking or travel purposes.
  • Handle employee inquiries and provide timely resolution.

Payroll Management

  • Work closely with the HRBP to process monthly payroll accurately & efficiently for UAE.
  • Ensure that all new hires (permanent & temporary) are reflected in our HRIS in a timely manner for payroll cut-off. That relevant information as per job location is captured accurately due to its impact on payroll & reporting.
  • Maintain HR & payroll drives. Ensure that documents are labelled clearly & saved appropriately.
  • Ensure accuracy in salary calculations, ad hoc deductions and deductions and variable pay components.

HR Data & Analytics

  • Collect, analyze, and interpret HR operations and payroll data to support decision-making.
  • Develop reports, dashboards, and KPIs covering leave trends, headcount, turnover, payroll costs, and other HR metrics.
  • Provide insights and recommendations to streamline HR processes and improve operational efficiency.
  • Ensure the accuracy, consistency, and security of HR data within HR systems.
  • Support HR initiatives that involve data automation, system enhancements, or process improvements.

Admin responsibilities covered by this role:

  • Monthly DMCC portal funds reconciliation for Finance
  • Administering company parking cards & coordinating annual renewals


Minimum Qualifications and Knowledge:

  • Educated to an Undergraduate Degree level or equivalent
  • HR Diploma/ Certificate an added advantage
  • Proficiency in Word, Excel, PowerPoint, HRIS and Payroll software.
  • Proficient in English (written & verbal) with both individuals & groups

Minimum Experience:

  • Minimum of two to four years’ experience working in an HR role, preferably within a multicultural environment in the UAE

Job-Specific Skills:

  • Knowledge of UAE employment law and HR best practices
  • Ability to handle sensitive & confidential information
  • Able to work as part of a team & under own initiative
