About The Role
We are seeking a highly experienced and organized Executive Assistant to support our Vice President and senior leadership team. In this role, you will be responsible for managing complex calendars, scheduling appointments, and coordinating meetings across multiple time zones. You will draft and review correspondence, presentations, and reports, ensuring accuracy and adherence to corporate standards. Your proactive approach will help optimize leadership’s time by prioritizing tasks and making informed decisions on short-term activities. Additionally, you will coordinate travel arrangements, including visa and passport procurement, and handle expense reporting and credit card reconciliation. You will also serve as a key point of contact within the organization, identifying issues and facilitating effective solutions. Your support will extend to onboarding new hires and assisting internal departments with various administrative processes. This role offers an exciting opportunity to work in a fast-paced environment, leveraging your exceptional organizational and communication skills to enable our leadership to focus on strategic initiatives and organizational growth.
Qualifications
- Minimum of 10+ years experience supporting VP-level executives or senior management
- Experience in leveraging or critically analyzing AI tools to improve work processes, decision-making, or problem-solving
- Proficiency in Zoom, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Docs, Box, Concur, and other collaboration tools
- Strong organizational skills with the ability to manage multiple high-priority projects simultaneously
- Exceptional communication and interpersonal skills
- Proven ability to handle confidential and sensitive information with discretion
- Professional demeanor with a positive, can-do attitude
- Experience in coordinating international travel and managing expense reports
- Ability to adapt quickly to changing priorities and work under pressure
- Desire to grow professionally and take ownership of independent projects
Responsibilities
- Manage and maintain complex, dynamic calendars for senior leadership, scheduling meetings and appointments efficiently
- Draft, review, and prepare correspondence, presentations, and reports ensuring accuracy and consistency
- Coordinate domestic and international travel arrangements, including visa/passport procurement and itinerary planning
- Assist with expense reporting, credit card reconciliation, and budget management for leadership
- Identify organizational issues and collaborate with relevant departments to develop solutions
- Support onboarding processes for new hires, including setup and orientation
- Assist internal teams with administrative tasks and internal systems, including travel and expense tools
- Prioritize and manage multiple projects, ensuring deadlines are met and objectives are achieved
- Serve as a liaison between leadership and internal/external stakeholders, maintaining professionalism and confidentiality
- Continuously seek opportunities to improve administrative processes and workflows
