Job Summary:
As an Administrative Specialist based in Austria, you will play a crucial role in providing efficient and effective administrative support to the office. This position requires a detail-oriented individual with excellent organizational and communication skills to ensure the smooth functioning of day-to-day operations.
Responsibilities:
- Manage certain aspects of onboarding and offboarding process such as office induction tour, door access, returns of office supplies etc.
- Coordinate relocation and local travel requirements.
- Organise and manage all office virtual/site events for Austria office such as annual company event and celebrations.
- Demonstrate company culture while executing company activities such as recreation clubs, reading corner, office culture wall.
- Coordinate and assist with team-building activities for departments
- Manage and execute an extensive list of staff welfare/benefits arrangements.
- Manage corporate merchandise pocurement, inventory, storage and delivery.
- Managing of office supplies procurement and sourcing of vendor (Pantry / Stationery / Corporate Mobile / Business Name cards etc…)
- Manage office operations and office space.
- Company accommodation management and managing housekeepers and drivers.
- Performs other related duties as assigned.
Requirements:
- Experienced in pocurement and vendor sourcing.
- Experienced in SAP/ HR Shared Service.
- Proven experience as an Administrative Specialist or in a similar role.
- Proficient in Microsoft Office Suite and office management software.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks and prioritize effectively.
- Knowledge of administrative procedures.
