Our client, an Investment Fund company based in Luxembourg, is looking for its future HR Operational Assistant.

This will be a temporary contract of 2 months. Please note that this assignment may be extended, in accordance with Luxembourgish law, for a maximum duration of 1 year.

Your Responsabilities

  • Help the team prepare and run learning and talent-development activities both onsite and online by using the organisation’s available tools and technology.
  • Manage the Learning Management System (SAP SuccessFactors) by entering and updating course information so that enrolments, cancellations, waitlists, attendance, room bookings, and documentation are accurately tracked for project follow-up.
  • Coordinate different parts of the project such as networking sessions or peer-learning groups to keep the project on schedule and moving toward its goals.
  • Arrange the logistics for external trainers or consultants, including sending invitations, managing calendars, organising access, and coordinating travel, accommodation, and training spaces.
  • Assist in carrying out project plans and improvement initiatives within Learning and Development, while helping refine processes and tools to keep everything consistent across the organisation.
  • Work collaboratively with team members and provide back-up support to other assistants to ensure smooth project operations and shared success.

Your Profile

  • A secondary school diploma plus a two-year qualification in a relevant area (such as business administration or learning), or a secondary diploma combined with equivalent professional experience.
  • At least five years of experience in an operational or administrative support role, ideally involving project-based work.
  • A proactive mindset, strong organisational abilities, and the capacity to work on a wide range of learning-related topics while following established instructions and guidelines.
  • Strong spoken and written English skills; knowledge of French is a helpful asset.
  • Solid command of common office software, including PowerPoint, Word, Excel, and Outlook.
  • Previous use of databases or systems like SAP SuccessFactors, Peoplesoft Financials, Oracle, or similar tools is a significant advantage.
