To support the procurement team in sourcing suppliers, processing purchase requests, preparing documentation, and ensuring timely delivery of materials and services required for real estate projects, property operations, and facility management activities.
Procurement Support
Assist in receiving, reviewing, and processing purchase requests from various departments (FM, Projects, Maintenance, Leasing, etc.).
Tender-specific control & Technical Support
Prepare and send RFQs to suppliers and collect quotations.
Support in comparing prices, specifications, and delivery terms.
Draft and process purchase orders (POs) for management approval.
Maintain the Approved Vendor List (AVL) and support vendor registration and documentation updates.
Assist in tracking supplier performance related to quality, delivery, and responsiveness.
Assist in preparing procurement documents such as RFQs, POs, LPOs, quotation comparison sheets, and contracts.
Maintain well-organized procurement files—both digital and hard copies—to support audits and compliance.
Update procurement logs, status trackers, and delivery schedules.
Prepare daily, weekly, and monthly procurement status updates.
Support in maintaining cost-tracking sheets and budget-related reports.
Diploma or Bachelor’s degree in Supply Chain Management, Business Administration, or related field.
1–3 years of experience as a procurement assistant/coordinator (real estate, construction, or facility management preferred).
Basic knowledge of procurement procedures, supplier coordination, and documentation.
Proficiency in MS Excel and procurement/ERP systems (SAP, Oracle, MS Dynamics, etc.).
Strong organizational, communication, and time-management skills.
Ability to work under pressure in a fast-paced real estate environment.
