Our client is seeking a proactive Administrative & HR Coordinator (APAC) [Regional Executive Administrator & Onboarding Coordinator] to join their APAC hub and support the Engineering/Construction team. This role is all about creating a smooth onboarding journey for new hires, while providing essential administrative support to managers in a fast-paced, multicultural environment.
- Location: CBD Area, Singapore
- Schedule: Mon–Fri, 8 AM – 5 PM (4 days onsite, 1 day WFH)
- Contract: January – June 2026 – renewable!
Responsibilities:
- Coordinate onboarding for new employees across APAC, ensuring timely delivery of laptops, software, and resources.
- Lead orientation sessions covering company culture, policies, and key contacts.
- Act as the go-to person for new hires, answering questions and resolving issues during their first weeks.
- Handle scheduling, meeting logistics, and preparation of onboarding materials.
- Organize travel arrangements for visiting executives, including flights, accommodation, and itineraries.
- Provide day-to-day operational support so managers can focus on strategic priorities.
- Process expense reports with accuracy and compliance.
- Partner with finance teams to resolve discrepancies and ensure timely reimbursements.
- Work closely with other administrators and support staff to deliver a seamless onboarding experience.
- Gather feedback from managers and new hires to improve processes.
- Promote inclusivity and cultural awareness across diverse teams in the region.
- Assist with data entry, budget tracking, and other administrative initiatives.
- Participate in team meetings to share updates, challenges, and best practices.
Requirements:
- Bachelor’s Degree or equivalent
- 3+ years of administrative experience, ideally with exposure to onboarding, HR coordination, or office management.
- Background in construction or related industries is a strong advantage.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Strong organizational skills, attention to detail, and ability to juggle multiple priorities.
- Cultural awareness and adaptability to work effectively with diverse teams.
- Positive, resourceful, and flexible mindset — able to thrive in a dynamic environment.
