PROJECT / OPERATIONS MANAGER

Full-Time | Remote | Reports to COO & CEO


About Us

We’re a fast-growing e-commerce company scaling across Amazon, Shopify, Walmart, and retail channels. We move fast, operate lean, and value clarity, accountability, and ownership. We’re now hiring a Project/Ops Manager to bring structure, consistency, and execution discipline across the organization.

This role is not an e-commerce expert role.

It is the operational engine that keeps the company aligned and moving.


ROLE MISSION

Own the system that ensures the company stays organized, on track, and accountable.

You run the workflows, dashboards, communication rhythms, and execution processes.


RESPONSIBILITIES1. Project Management & Workflow Execution
  • Own ClickUp: task structure, deadlines, dependencies, cleanup
  • Turn strategic goals into actionable project plans
  • Track progress and escalate risks before they become issues
  • Remove bottlenecks and maintain cross-team alignment
2. Meeting Leadership
  • Run weekly leadership meetings
  • Prepare agenda, notes, KPIs, and follow-ups
  • Ensure decisions and action items are always captured
  • Maintain the weekly Scorecard and ensure team accountability
3. Cross-Functional Coordination
  • Act as the communication “control tower” for the whole company
  • Standardize updates and ensure everyone stays aligned
  • Reduce ad-hoc interruptions and clarify responsibilities
4. Reporting & Visibility
  • Maintain weekly execution dashboards:
  • Sessions
  • Conversion
  • BSR trends
  • Inventory health
  • Marketplace launch progress
  • Provide a weekly summary for CEO and COO
5. Process & SOP Development
  • Document and organize SOPs across operations
  • Improve processes and workflow efficiency
6. Support the COO
  • Remove tactical workload from Irene
  • Filter noise and ensure only real escalations reach leadership
  • Create clarity so the COO can focus on strategy and problem-solving


REQUIREMENTSMust-Have
  • 4+ years in project management or operations roles
  • Strong communication and organizational skills
  • Experience with ClickUp, Asana, Monday, or similar tools
  • Ability to hold teams accountable without drama
  • Highly structured, detail-oriented, and proactive
  • Comfortable leading meetings and managing deadlines
  • Strong critical thinking and prioritization abilities
Nice-to-Have
  • Experience supporting a COO or operations leader
  • Experience in fast-paced companies or startups
  • Experience building SOPs and operational frameworks


SUCCESS METRICS (First 90 Days)
  • ClickUp is clean, structured, and consistently used
  • Weekly scorecard is accurate and automated
  • All major projects have clear owners, deadlines, and updates
  • CEO receives visibility without micromanagement
  • COO’s tactical workload is reduced by 50–70%
  • Team communication becomes structured and proactive
  • Marketplace expansion projects move predictably
