Project Manager Service Center – Purchase & Business Partner


Assignment:

In general, the assignment involves actively contributing, as a member of the Service Center Purchase & Business Partner, to delivering services to internal business partners.

You will take on the role of Project Manager, responsible for managing one or more projects. This responsibility includes overseeing project delivery within the agreed scope, cost, timeline, and quality. Additionally, you will deliver the expected project management deliverables within the agreed timeframe and in line with the required quality standards.

You will adhere to the organization's guidelines, processes, and procedures, and report on these to, among others, your Team Manager.

It is expected that you will take the necessary actions to quickly familiarize yourself with new subject matter, with the aim of promptly adding value to our internal business partners.

You will also contribute to the functioning of the Service Center by focusing on knowledge sharing, knowledge retention, and activities aimed at improving team performance.


Responsibilities:

  • Ensuring that all expectations regarding the project are clearly understood by the business (e.g., the project sponsor), IT stakeholders, and the external vendor, while making sure these agreements are realistic and sufficiently documented in the expected deliverables.
  • Aligning business and IT stakeholders by providing regular status updates tailored to their specific needs regarding the progress of the project.
  • Managing the project team, which includes IT, business, and external vendors.
  • Establishing an efficient collaboration structure (e.g., daily stand-ups) and ensuring seamless integration and cooperation between business stakeholders, IT stakeholders, and the external software vendor within the project.
  • Monitoring the analysis, definition, development, and implementation of deliverables, and taking necessary actions to ensure outputs are delivered according to the agreed timelines.
  • Tracking project costs, taking actions to optimize cost efficiency, and ensuring the project is delivered within the agreed budget.
  • Monitoring the delivery of the expected project scope and safeguarding it to prevent scope creep.
  • Managing any changes to the project baseline (cost, time, and scope) in a structured manner.
  • Ensuring the project outputs meet the desired quality standards.
  • Acting as an ambassador for the project by promoting and advocating for it.



Expected Outputs (non-exhaustive):

  • Review of the project management deliverables produced during the project initiation phase, such as the project scope, cost estimates, planning, risk management, team composition, etc., with adjustments where necessary.
  • A high-quality, up-to-date, and validated project sheet in our standard format, archived in our internal repository.
  • A list of project deliverables in a Work Breakdown Structure (WBS).
  • A sufficiently detailed and up-to-date project plan, including identified dependencies and milestones.
  • A project status report in our standard format, archived according to the provided guidelines.
  • A resource demand forecast for the short, medium, and long term, documented in our standard Excel format.
  • A communication plan, ensuring the necessary communication actions are carried out.
  • A project closure document at the end of the project.


Expectations

Skills and Desired Background:

  • You are capable of managing projects within the triple constraints of TIME, while safeguarding the other constraints of SCOPE, COST (& QUALITY), and can demonstrate relevant experience.
  • You have experience developing a well-supported project governance and validation pathway in large organizations (with multiple (B)OUs) and can provide examples of relevant projects.
  • You have experience managing projects with IT work packages exceeding 1000 person-days (PD).
  • You are creative in devising approaches to resolve significant project issues and can clearly communicate your ideas across various levels, including executive management, with relevant examples to demonstrate your experience.
  • You have experience with the waterfall project methodology.
  • You have experience working on projects that significantly impact multiple (B)OUs/divisions/services/locations within an organization.
  • You are fluent in both English and Dutch.
