Job Description

Qualifications & Requirements:

Experience & Education:

• 1+ years of experience as an Administrative Assistant, Office Assistant, Coordinator, or similar role.

• Experience interacting with C-Level/Executive level teams.

• Experience in multinational or fast-paced environments is a plus.

• Bachelor’s degree in a related field preferred (not mandatory).


Skills & Competencies:

Advanced/Fluent English (spoken and written).

• Excellent grammar, writing, and communication skills.

• Strong organization and attention to detail.

• Ability to multitask, prioritize effectively, and respond quickly.

• High level of discretion when handling confidential information.

• Proactive mindset and ability to anticipate needs.

• A global mindset and strong relationship-building skills.

• Proficiency with Google Workspace, Microsoft Word, Outlook, Excel, and online meeting platforms.


Nice to Have:

• Experience in the technology, IT services, or consulting industry.

• Experience supporting commercial/sales or operational teams.

• Familiarity with LATAM regional operations.


Key Responsibilities:

Administrative & Operational Support:

• Manage the calendar of the Regional LATAM Head and support additional leaders as needed, ensuring accuracy and avoiding scheduling conflicts.

• Coordinate and organize domestic and international travel logistics.

• Prepare, submit, and follow up on expense reimbursement requests.

• Draft, proofread, and format documents, presentations, and communications in English and Spanish.

• Support the creation, follow-up, receipt, and closure of administrative tasks for the LATAM region.

• Vendor management: Coordinate with external vendors and service providers (e.g., office suppliers, travel agencies), ensuring timely service delivery, proper documentation, and follow-up on invoices and issues.


Coordination & Communication:

• Assist with meeting preparation: agendas, materials, minutes, and follow-ups.

• Maintain organized documentation, shared folders, and dashboards with accuracy and confidentiality.

• Provide administrative coordination and task follow-up for internal initiatives.

• Establish strong professional relationships with team members and external contacts.


Event & Project Assistance:

• Assist in organizing logistics for departmental activities and corporate events.

• Collaborate with various internal teams to support regional operations.

• Provide back-up support to other administrative team members as needed.

• Support additional tasks or projects as assigned.
