We are seeking a highly organized, proactive, and professional Executive Assistant (EA) to support the CEO of one of OCTA Properties related businesses.
The ideal candidate will excel in a fast-paced environment, handling diverse responsibilities with discretion and efficiency. As the PA, you will play a pivotal role in ensuring the CEO’s schedule runs smoothly, facilitating communication across the organization, and supporting strategic initiatives.
This role offers a unique opportunity to work closely with the CEO of a dynamic and growing Interior Design Studio.
What will be your responsibilities?
Administrative Support:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Organize and prepare materials for meetings, presentations, and events.
- Monitor and respond to emails and correspondence on behalf of the CEO.
Coordination and Communication:
- Act as a liaison between the CEO and internal/external stakeholders.
- Facilitate effective communication within the organization, ensuring messages are relayed and follow-ups are completed.
- Coordinate with department heads and teams to ensure alignment on priorities and deadlines.
Project and Task Management:
- Assist in the execution of key projects and initiatives, ensuring timely completion of deliverables.
- Track progress on tasks assigned by the CEO and provide updates as required.
- Conduct research and compile data for reports, presentations, and decision-making.
Event and Travel Management:
- Plan and coordinate the CEO’s travel itineraries, including flights, accommodations, and meetings.
- Assist with the organization of company events and engagements involving the CEO.
Confidentiality and Professionalism:
- Handle sensitive information with the utmost discretion and confidentiality.
- Represent the CEO in a professional manner in all interactions.
What are we looking for?
Education and Experience:
- Bachelor’s degree in Business Administration, Communications, or a related field.
- 3+ years of experience in an Executive Assistant or similar role, preferably supporting C-level executives.
Technical Skills:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams or Zoom.
- Familiarity with travel management systems and CRM tools is a plus.
Core Competencies:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- High level of emotional intelligence, discretion, and professionalism.
- Ability to manage multiple priorities and meet tight deadlines.
