Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to support the Chief Human Resources Officer. This role is essential in managing daily operations, optimizing time, and ensuring seamless communication with internal and external stakeholders.


Working closely with the Chief of Staffs, the EA will oversee calendar management, travel coordination, event planning, and administrative support, while serving as a gatekeeper and key point of contact. The ideal candidate is responsive, anticipates needs, thrives in a fast-paced environment, and excels in time management.


Key Responsibilities:


Executive Support & Administration

  • Manage calendar, emails, phone calls, and daily agenda to ensure efficient scheduling.
  • Serve as gatekeeper, screening requests and prioritizing the Executive’s time.
  • Prepare materials for meetings, presentations, and engagements.
  • Track and follow up on key action items to ensure timely execution.
  • Process and track business expenses.
  • Will also support three other executives with light meetings and calendar as needed.


Travel & Event Coordination

  • Plan and manage domestic and international travel logistics.
  • Organize executive meetings, offsites, and special events.
  • Ensure all logistics are handled efficiently to support business priorities.


Stakeholder & Team Collaboration

  • Act as the primary liaison between the Executive and internal/external stakeholders


Qualifications

  • 3-5+ years of experience as an Executive Assistant supporting senior leadership.
  • Expertise in complex calendar management across multiple time zones.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools.
  • Discretion and professionalism in handling sensitive information.
  • Excellent written and verbal communication skills.
  • Proactive, resourceful, and adaptable in a fast-paced environment.

Education

  • Bachelor’s Degree required


Compensation

The base salary range for this role is $90,000 – $105,000. Actual compensation will be determined based on a variety of factors including experience, education, skills, and certifications. In addition to base salary, this role may be eligible for discretionary bonuses and other short- and long-term incentives, including deferred cash and equity. A competitive benefits package is also offered.
